Job Summary

The Milk Room Manager will oversee dietetic technicians and temporary dietitian assistants who work in the C&W Milk Room. The Milk Room is responsible for the safe, accurate, and timely storage, preparation, and delivery of human milk, infant and pediatric formulas, oral nutrition supplements, and enteral nutrition formulas.

Responsibilities*

Operations Management

  • Serves as manager on duty in operational areas, as assigned.
  • Oversee the delivery of patient education provided by dietetic technicians, including cardiac diet and food-drug interaction education.
  • Oversee documentation entered in the electronic health record by dietetic technicians and temporary dietitian assistants.
  • Oversee the processing of charge entry for the delivery of services.
  • Oversee the receiving, handling, storing, preparation, and delivery of oral nutrition supplements, enteral nutrition formula, infant formula, donor human milk, human milk-based human milk fortifiers, and additives.
  • Oversee the maintenance and proper use of equipment. 
  • Ensure safe storage, cleanliness, sanitation, and overall condition of physical spaces and stock rooms where formula is stored and prepared, in accordance with regulatory/accreditation standards and Food Code.
  • Procure and manage inventory of supplies, including formula, donor human milk, human milk-based human milk fortifiers, and other supplies. Maintain appropriate par stock and rotation.
  • Manage formulary and formulary-related issues impacting patient care or product availability.

Human Resources Management

  • Supervise and direct the day-to-day work of bargained-for and non-bargained-for staff
  • Recruit, interview, hire, and onboard new hires
  • Schedule staff in alignment with operational needs and budgeted hours
  • Approve timesheets/payroll in alignment with assigned deadlines
  • Define job and performance expectations
  • Create, update, and maintain training materials and reference documents
  • Assess and verify the competency of staff to perform assigned job functions
  • Coach staff, conduct performance evaluations, and support professional development
  • Issue corrective action when needed
  • Ensure compliance with departmental and institutional policies

Safety, Compliance, and Quality Assurance

  • Contribute to the development and revision of departmental policies and procedures
  • Enforce compliance with therapeutic diet requirements, patient identification protocols, hand hygiene standards, suicide precautions, and other safety practices
  • Audits work to ensure consistency in service level and adherence to routine to facilitate continuous improvement
  • Identify opportunities to improve efficiency, effectiveness, and patient safety
  • Defines and communicates goals for individuals and teams
  • Collect, analyze, and interpret operational and quality data using metrics from MiChart, CBORD, and other programs to measure and manage performance towards goals
  • Partner with patient care units and other healthcare providers (nurses, dietitians, patient care techs, etc.) in delivering high-quality service
  • Model and promote exemplary customer service standards
  • Investigate and resolve patient and customer concerns
     

Required Qualifications*

  • Associate's degree or equivalent combination of education and experience
  • Prior supervisory or management experience
  • Experience working with electronic medical record (EMR) systems
  • Serve Safe Manager Certification and Allergen Certification within 6 months of hire

Knowledge and Skills Requirements

  • Ability to plan, organize, and supervise staff in a patient care environment
  • Strong time-management and organizational skills, with the ability to prioritize work, meet deadlines, and function independently
  • Proficiency with healthcare and food service technology systems, including MiChart
  • Working knowledge of nutrition fundamentals, including diet order compliance and food allergies/intolerances
  • Excellent verbal and written communication skills, with the ability to communicate diplomatically across disciplines
  • Strong critical-thinking and problem-solving abilities related to patient care and formulary operations
  • Demonstrated ability to collaborate effectively with Nutrition Services and interdisciplinary clinical teams
     

Desired Qualifications*

  • Bachelor's degree in nutrition, dietetics, food service management, or a related field, or equivalent combination of education and experience
  • Master's degree 
  • Registered Dietitian Nutritionist (RDN) with active registration through the Commission on Dietetic Registration (CDR)
  • Experience with Epic (MiChart) and CBORD Food Service Management System
  • Familiarity with institutional policies, clinical workflows, and patient care operations

Modes of Work

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third-party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
