Job Summary

The Department of Anesthesiology is seeking an Administrative Assistant Senior to serve for the Anesthesiology faculty offices located at the University Hospital.  This position will provide high level administrative support to Anesthesiology faculty, and will report directly to the UH Anesthesiology Administrative Staff Manager and will partner closely with UH administrative staff.

Responsibilities*

  • Provide administrative support to (10 +) faculty, maintain calendars, meetings, travel arrangements, correspondences, ordering supplies and Emburse expense reports.
  • Maintain CV and other certification documents for faculty.
  • UH Space Administrative Lead meet with UH Space Committee, assign administrative offices to faculty, and coordinate space related projects specific to UH

  • UH OR MPLAN administrator - Coordinate and manage scheduling of multiple concurrent meetings across the institution, working with cross-functional departments to ensure alignment of priorities, availability, and resources.
  • Assist office with special projects per the direction of the office Manager. 
  • Maintain and reconcile departmental purchasing card for ordering purposes.
  • Coordinate meetings and other events including reserving locations, sending invites, arranging catering, a/v and teleconferencing needs and assisting with invited guests and speakers.
  • Assist with the onboarding and orientation of new faculty/staff.  This includes preparing office space, acquiring computing equipment, and assisting as needed for acclimation and resolution of problems.
  • Provide direct Administrative and Coordination support for the Head and Neck/Airway Management Fellowship. 
  • Format manuscripts for journal submission with EndNote. 
  • Creating and maintaining multiple email groups.
  • Maintainand update departmental administrative and phone directories, ensuring accurate, up-to-date contact information to support effective communication across the organization 
  • Schedule 1:1 faculty annual evaluation for department leaders for their Annual Faculty Career Review. 
  • Facilitating OTO intern schedule, yearly

Required Qualifications*

  • High school diploma or equivalent.

  • 4 years or greater progressively responsible administrative experience.

  • Outstanding organizational skills with attention to detail and accuracy.

  • Excellent verbal, written, interpersonal communication skills with a strong customer service focus and an ability to communicate effectively (both orally and in writing) with internal and external stakeholders at all levels in the organization.
  • Candidate must be self-motivated and demonstrate excellent judgment in problem solving when developing daily work priorities.
  • Demonstrate ability to manage time, multi-task and use judgment within scope of responsibilities.
  • Must be detail oriented and organized with demonstrated ability to set priorities and balance multiple projects with high-level of accuracy in a deadline driven, fast-paced environment while providing high quality customer service.
  • Demonstrated success with managing complex and long-term projects.
  • Must be able to exercise considerable discretion and independent judgement.
  • Must be able to work independently and as part of a team.
  • Advanced skills in Microsoft Outlook, Word, Excel and PowerPoint

Desired Qualifications*

  • Associate or bachelor's degree is preferred; or equivalent combination of education. 

  • At least one year of supporting faculty or administrative management teams.

  • Knowledge of University policies and procedures.

  • Familiarity with policies and practices of working in a healthcare environment.

Background Screening
