The Student Center Administrative Assistant serves as the first point of contact for students, faculty, staff, visitors, and members of the University of Michigan community in the SEAS & PitE Student Center (Student Services). You will provide high-quality customer service, front desk support, office coordination, and dedicated administrative support split between the SEAS & PitE Student Center, the Next-Gen Scholars Program, Program in the Environment Faculty Director, and Assistant Dean in the Student Center.
Reporting to the Events and Alumni Engagement Coordinator, you will support operations of the Student Center by maintaining welcoming public spaces, responding to inquiries, assisting with communication, and tracking important administrative matters. The ideal candidate exhibits a consistently positive, proactive, solution-oriented mindset and discretion with confidential information. You will be stationed at the welcome desk during peak hours, and have access to a shared workspace for administrative work outside of those hours.

Responsibilities*
Administrative Support
- Provide administrative support to PitE leadership, Center leadership, the PitE Faculty Director, and the SEAS Assistant Dean.
- Coordinate meetings, schedules, notes/minutes, newsletters, announcements, surveys, mail merges, and formal communications.
- Maintain shared files, tracking documents, spreadsheets, databases, presentation materials, and program records.
- Support hiring logistics, travel coordination, research requests, invoices, receipts, PCard reports, and other administrative needs.
Front Desk Operations and Office Upkeep
- Provide welcoming front desk support during peak service hours and respond to in-person, phone, and email inquiries.
- Complete daily opening and closing procedures and help keep shared spaces organized and welcoming.
- Monitor and restock office, kitchen, copier/printer, brochure, and resource supplies.
- Maintain front desk manuals, office procedures, public postings, reference materials, and confidential shredding processes.
Program Support
- Provide administrative support for assigned student programs, including scheduling, communications, meeting notes, and workflow coordination.
- Assist with student staff hiring logistics, onboarding communications, check-ins, and mentorship communications.
- Track program participation, event attendance, budget information, and other program records.
- Create and update newsletters, flyers, brochures, signage, and other digital or printed promotional materials.
Events and Student Programming Support
- Support Student Center, PitE, and student programming events focused on professional development, wellness, community, belonging, and student engagement.
- Assist with major events such as Admitted Student Visit Day, Fall Visit Day, New Student Orientation, Commencement, and related programming.
- Coordinate catering, supplies, transportation, equipment, room setup, printed materials, and other event logistics.
- Track attendance and assist with post-event documentation, follow-up, and wrap-up tasks.
