Job Summary

Senior level:

Responsible for supporting the access initiatives related to Cadence, Welcome and MyChart functionality through project coordination, deployment and support of available technological features, and recommendations for upgrades and enhancements to software. Capacity Management (CM) Senior Analyst will focus on leveraging technology to improve and standardize business processes for scheduling, referrals, automated reminders, and other patient access workflows. 

 

The CM Senior Analyst position serves as a subject matter expert on Epic Cadence and other patient access software functionality and related workflows. This position partners with ACUs and Department/Divisions to develop workflows within the software, implement functionality, and provide maintenance support of the applications to optimize the patient and staff experience, and improve staff efficiency. This role also partners with the Capacity Management team to support build related initiatives related to template, template build, and scheduling build maintenance or optimization. 

 

Intermediate level:

Responsible for configuration, maintenance, and optimization of clinician scheduling templates and workflows within Epic. This role supports patient access by building and maintaining provider templates, visit types, scheduling rules, and decision tree functionality. The analysts triages and prioritizes service requests, collaborates with senior analysts and stakeholders, and ensures timely resolution of system changes. 

 

The position involves analyzing scheduling workflows, translating business requirements into system specifications, and recommending improvements to enhance operational efficiency. The analyst participates in system testing, supports end users during implementations, and ensures seamless integration across applications. Additionally, this role maintains thorough documentation, communicates workflow and system changes, and provides ongoing support and optimization of Epic functionality to meet organizational and clinical needs.

Responsibilities*

Senior Responsibilities: 

  • Become an expert in existing functionality of patient access software, including Cadence, Welcome, MiChart, Referrals and automated reminders.

  • Become the subject matter expert on forthcoming functionality for Cadence, Welcome, MiChart and other patient access applications.

  • Collaborates with the Capacity Management team with specialties that undergo capacity management optimization initiatives on building related items. 

  • Partners with the Capacity Management Consultant to review access requests, and support prioritization and management of the Capacity Management Technical Analysts? workload.

  • Serves as a Subject Matter Expert for Epic to partner closely with CM Consultants to define scheduling requirements, feasibility of requests, and optimal workflows for optimization initiatives. 
  • Supports access related build initiatives that have been approved by Michigan Medicine leadership team.

  • Works with complex building requirements and workgroups for optimization projects, demonstrating sophisticated knowledge of integration of Epic (MiChart) workflows and applications and problem analysis to provide solutions for organizational needs.

  • Provides quality oversight and guidance for lower-complexity build requests performed by CM Analysts.

  • Leads project management activities, design, and build for new patient access functionality and optimization initiatives, serving as the primary technical owner during planning, build, and implementation phases.

  • Establishes build standards for new workflows and ensures knowledge transfer, and handoff of build to CM Analysts for long-term support and maintenance.

  • Provides technical direction and design guidance to CM Analysts to ensure build follows approved standards and aligns with Capacity Management workflows.

  • Serves as the technical expert for new Epic and patient access functionality, evaluating system capabilities, recommending design approach, and coordinating implementation across teams.

  • Acquires a strong understanding of existing access workflows across Michigan Medicine and more detailed knowledge regarding workflows relevant to assigned projects.

  • Partners with CM Trainers to identify training requirements and promote adoption and optimal use of the electronic health record by the clinical end users.? 
  • Partners with the CM Consultant identify training gaps on optimization initiatives.
  • Works collaboratively with others in the maintenance, development, and implementation of user training/support strategies. Represents usage and adoption strategies in committees.? 
  • Leverages knowledge of Cadence and other access applications to work with other teams to develop queries, dashboards, and reports.

Intermediate Responsibilities:

  • Leads efforts in configuration and ongoing maintenance of clinician templates in Epic that support template management. 
  • Supports build of clinician provider templates, creation of subgroups, visit types, blocks, and/or visit type modifiers and restrictions necessary for Epic decision tree functionality that enhance patient access and scheduling workflows. 
  • Triages ServiceNow tickets and partners with the CM Senior Analyst and/or CM Consultant to assess and prioritize outstanding change requests, ensuring timely completion in accordance with established priorities.
  • Develops expertise in Epic functionality and workflows through support of initiatives led by the CM Senior Analyst, with responsibility for ongoing maintenance, support, and optimization following transition of design and build.
  • Demonstrates understanding of how system configuration and scheduling workflows influence access performance metrics, using data insights to guide build decisions and support continuous improvement in patient access.
  • Provides follow up information to appropriate individuals in affected clinics to close the loop and ensure understanding of the change in functionality. Escalate issues to the Capacity Management team, as appropriate. 
  • Documents issues, options, resolutions, communications, testing, and problem identification utilizing established formats. Maintains organized documentation and shares information with team members.
  • Participates in system and integration testing phases of system module functionality. Supports end users during implementation of new processes, systems, or functionalities.   
  • Partners with the CM Senior Analyst or CM Consultant to review or escalate complex or non-standard build concerns.
  • Performs workflow analysis of department and customer scheduling needs. 
  • Documents and translates requirements into proper system specifications. 
  • Analyzes requests to identify and recommend best use of Cadence functionality. 
  • Reviews, analyses and completes schedule change requests in a timely manner. 
  • Ensures design and build is integrated with other applications and processes to support design decisions and facilitation of scheduling workflows.
  • Documents and communicates policy and workflow changes to customers. 
  • Analyzes system enhancements and functionality changes to determine proper use. 
  • Recommends system enhancements that improve business efficiency. 

IMPORTANT NOTE: Epic Cadence proficiency is a requirement for this position. Training will be provided for a period of 12 weeks should a successful candidate not already be proficient. Failure to obtain this required training though will result in termination from the University. 

Required Qualifications*

  • Epic Cadence Certified
  • Advanced knowledge of Microsoft business tools: Excel, Word, PowerPoint
  • Capable of working in a diverse, multidisciplinary team and interacting with all levels of the organization.

Senior Requirements: 

  • Bachelor's degree in related field and 3-5 years of related experience, or an equivalent combination of education and experience.

Intermediate Requirements: 

  • Bachelor's degree in related field and 2-4 years of related experience, or an equivalent combination of education and experience.

Desired Qualifications*

  • Knowledge of Michigan Medicine policies and procedures.
  • Knowledge surrounding patient scheduling, registration, consult/order workflows and MiChart reports.
