Job Summary

The Administrative Manager Associate provides leadership, operational oversight, and subject matter expertise for the Pathology Billing Team, supporting the generation and optimization of both professional and hospital revenue. This position is responsible for managing the daily operations of pathology charge capture, coding, billing, and insurance authorization functions while ensuring compliance with institutional policies, payer requirements, and regulatory standards.

The Administrative Manager Associate oversees staff performance, workload distribution, process improvement initiatives, and revenue cycle operations across multiple pathology service lines. This role serves as a key liaison among clinical, administrative, finance, research, registration, and revenue cycle stakeholders to support accurate billing practices, operational efficiency, and financial performance.

Responsibilities*

  • Supervises the employees in the Pathology clinical charge capture billing team along with Coordination of staff workloads, problem solving, evaluate performance, handle complaints and disciplinary issues, hire staff, create office policies.
  • Oversee HB and PB billing/authorization/coding functions.
  • Liaison for registration and backend billing issues related to coding.
  • Manage component billing process.
  • Manage MLABS billing/coding/authorization functions.
  • Process credits to patients and clients.
  • Manage MICHART work queue processes.
  • Liaison for Research billing.
  • Continuous improvements/redesign of billing applications.
  • Periodic Audits of billing processes and accuracy for coding and registrations.
  • Coordinate education of and future LIS and MICHART upgrades.
  • Continuing education of ICD10 and coding certification.
  • Meeting billing deadlines set forth by the institution.

Required Qualifications*

In order to be considered for this position the applicant must have met or will have met all the required qualifications prior to the start date of employment.

  • Bachelor's degree preferred and/or reasonable professional experience with some prior management, supervisory or team leader experience is required.
  • Minimum of three (3) years of progressive professional experience in medical billing and coding, charge capture and medical insurance authorizations
  • Three or more years of supervisory experience is required.
  • Demonstrated experience supporting complex processes and providing guidance to management.

Required Knowledge, Skills and Abilities

  • Ability to multi-task and be detailed oriented.
  • Strong analytical, quantitative, and problem-solving skills with the ability to interpret complex data and translate findings into actionable recommendations.

  • Extensive coding experience CPT/HCPCS and ICD-10).  Medical coding certification preferred.

  • Broad knowledge of software functionality - specifically in Epic, LIS software, etc.
  • Must have knowledge of authorizations for Molecular testing.
  • Communicate effectively with both internal and external clients, patients, physicians, etc.
  • Able to work in a high volume/fast-paced environment.
  • Significant knowledge of University and Health System billing systems, policies, and procedures.
  • Strong attention to detail, organizational skills, and commitment to accuracy.
  • Demonstrated ability to collaborate effectively with leadership, finance teams, and cross-functional stakeholders.
  • Ability to work with sensitive and confidential information.
  • Must be able to interact with insurers, physicians, and team members in a responsible, professional, and ethical manner.
  • Must be able to function effectively in a team-oriented environment.
  • Must be able to work independently with limited direction.
  • Must be reliable and demonstrate sound judgment and initiative.

Desired Qualifications*

  • Experience in academic healthcare, higher education, or complex matrixed organizations.
  • Experience with complex medical billing systems, business intelligence tools, and advanced data visualization platforms.
  • Advanced data analytics experience is desirable.

Level of Independence

This position operates with a high degree of autonomy. The Administrative Manager Associate is expected to independently evaluate alternatives, develop recommendations, and make decisions within established guidelines. Work assignments are broad in scope and frequently require originality, initiative, and strategic thinking. The role's primary activities directly support and influence significant business and financial operations across the Department and Michigan Medicine.

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
