Responsibilities*
Support the CHC Outreach Operations Manager.
Support the Pediatric Cardiology Medical Director.
Provide support to the Electrophysiology providers and Nurse Practitioners with maintain EP patients tracking, gather records, and complex scheduling
Provide administrative support for assigned faculty and fellows.
- Telephone responsibilities: answer, screen, route, and respond to inquiries via phone from referring physicians, patients, parents, etc.
Outlook calendar management for Outreach Manager and assigned faculty.
including Outlook calendar management, bio sketches, and licenses
Plan, coordinate, and reconcile faculty travel, including conference registration and travel arrangements.
Prepare and submit expense reports for assigned faculty and staff.
Manage time off system for faculty, including faculty absence tracking system.
Coordinate faculty visits for recruitment purposes.
Coordinate visits such as Grand Rounds speakers, visiting observers, and lectureships.
- Schedule and coordinate multiple in-person and virtual meetings, some of which include faculty and staff from outside hospitals. Take minutes and distribute as needed.
- Maintain and update assigned faculty CVs in M-CV
- Take accurate messages and document patient messages in MiChart.
- Schedule, reschedule, and cancel outpatient appointments in Mi Chart, including clinic reschedules. Schedule video visits and help patients with portals as needed.
- Assist the Outreach Manager with setting up, coordinating job postings, and scheduling interviews.
- Prepare slides, graphs, or charts for presentation as requested.
- Processed, received, sorted, and distributed US mail, UPS, electronic mail, and overnight service mail when on-site along with other Admins.
- Manage Fax Server along with other Admins.
- Other duties as assigned.
Required Qualifications*
H.S. Diploma
- Excellent communication skills, both oral and written, and excellent interpersonal skills
- Knowledge of MiChart Scheduling
- Excellent attendance
- Excellent technical skills: MS Word, Excel, and Outlook
- Ability to work on multiple tasks in both team environments and independently.
- Excellent problem-solving ability and adapts well to change.
Desired Qualifications*
- Prior experience in an Administrative Assistant role.
- Knowledge of University of Michigan Medicine policies and procedures
- Knowledge of basic medical terminology
