Job Summary

The University of Michigan's School of Public Health (SPH) seeks a temporary Administrative Assistant to provide high-level administrative support to the Dean's Office. This role requires professionalism, discretion, and the ability to manage multiple priorities in a fast-paced environment. The successful candidate will work closely with and report directly to the Dean's Executive Assistant and Chief of Staff, providing day-to-day administrative and operational support across Dean's Office priorities.

Responsibilities*

  • Answer/route incoming calls and emails
  • Coordinate meetings and manage scheduling logistics based on provided direction, including identifying availability, communicating with participants, sending calendar invitations, reserving meeting space, and arranging Zoom or hybrid meeting details
  • Prepare basic meeting materials (agendas, meeting polls, copies, Zoom links)
  • Take and distribute meeting notes or action items
  • Assist with event logistics (room setup, catering coordination, check-in)
  • Provide general administrative support for Dean?s Office projects and priorities as assigned
  • Assist the Executive Assistant with coordinating travel arrangements, including flights, itineraries, hotels, and ground transportation, as well as travel-related expense documentation, receipts, and reimbursement preparation
  • Prepare, edit, and format reports, letters, presentations, and other documents

Required Qualifications*

  • Minimum of 3 years of administrative experience supporting senior leaders 
  • Strong calendar management and meeting coordination experience 
  • Proficiency with Microsoft Office, Google Workspace, and virtual meeting tools 
  • Excellent organizational, multitasking, and problem-solving skills 
  • Demonstrated attention to detail and ability to anticipate needs, follow through on assignments, and manage time-sensitive requests with minimal supervision
  • Strong written and verbal communication skills 
  • Ability to handle confidential information with discretion 
  • Proven ability to work independently and collaboratively in a dynamic environment 
  • Experience in an academic or higher education setting preferred

Modes of Work
