Student Resolution Resources (SRR), a unit in the Division of Student Life, promotes a safe and scholarly community in which students navigate conflict and accountability in a respectful and reflective manner. We offer a spectrum of resolution pathways that are educationally focused, student-centered, accountability-oriented, and restorative in nature.
Position Summary:
This position supports SRR in a high-volume office environment by managing, analyzing, and reporting on complex data within a compliance-driven setting and decision-making on sensitive record disclosure. This role designs and delivers accurate and insightful reports, supports business systems and process improvements and institutional compliance with federal and state regulations, in collaboration with Student Life Technology Solutions (SLTS).
Success in this role requires strong analytical skills, a keen attention to detail, and an appreciation for the critical role data plays in supporting decision-making and strategic communications. This position will have a dotted functional reporting line to Student Life Technology Solutions.
Responsibilities*
Records Disclosure, Subpoena Response, & Compliance (30%)
- Leads all records disclosure processes in coordination with federal requestors, external stakeholders, internal university units, and other entities seeking student-related data for legitimate and legally allowable purposes.
- Interprets subpoenas and applies federal/state law (FERPA, VAWA, Clery, and others) to strategic decisions regarding record disclosure to government contractors and professional/medical schools on behalf of the institution.
- Exercises individual judgment in balancing institutional policy with privacy obligations, and establishes protocols for the disclosure of sensitive records to internal and external parties.
- Sets strict compliance standards for the handling of confidential student data, oversees risk prevention protocols, and ensures responsible stewardship of sensitive information.
- Engages directly with the Office of General Counsel on disclosure and compliance matters.
- Clearly communicates compliance decisions and requirements to senior staff and institutional partners, providing guidance and maintaining discretion.
Business Process Improvement, Analytics, & Database Management (30%)
- In collaboration with SLTS, design, create, export, and present data-driven qualitative and quantitative reports for a range of stakeholders to meet business and compliance needs.
- Create and maintain internal Advocate data dashboards to inform leadership groups, collaborate with SLTS on dashboards combining external data sets.
- Respond efficiently to high-volume internal and external vetting requests by accurately interpreting and sharing relevant information.
- Regularly conduct audits of records to identify and correct gaps and contradictory data relationships to ensure accurate reporting.
- Provides unit-level case management system support, guiding the resolution of complex business challenges and advancing relationships with vendor-based support resources.
- Designs and implements new procedures, refines workflows, and helps lead automation initiatives in collaboration with staff focused on conduct and conflict programmatic services - to support efficiency and compliance in case management.
- Coordinates onboarding and systems level training for conduct and accountability processes, including and ongoing training for staff and partners to ensure understanding of evolving technical functions and compliance mandates.
- Serve as a unit-level resource to SRR users, by providing system support. Mentor and support colleagues by sharing knowledge and expertise in coordination with Divisional resources in Student Life Tech Solutions.
- Develops and maintains key documentation specific to SRR operations, including training manuals, core processes documentation, and communication materials, ensuring consistency and accuracy across teams.
- Represents Student Resolution Resources (SRR) at key governance meetings, providing departmental updates, and leading service enhancements.
- Champions process improvement by analyzing workflows, identifying optimization opportunities, and implementing solutions for system-wide benefit in collaboration with SLTS
Operational Management (20%)
- Leads and streamlines support for SRR operations, ensuring efficient scheduling and oversight of business activities through office email, resource allocations, and fiscal stewardship.
- Manages financial processes, including review and approval of invoices, reconciliations, P-Card documentation, and staff travel/expense reports.
- Directs procurement and allocation of office resources, software (in collaboration with Student Life Technology Solutions), and equipment for optimal operations.
- Oversees HR-related processes for the unit, including recruitment, onboarding, and payroll/timekeeping verification.
- Oversees facility management, mail distribution, event planning, and case scheduling at the unit level, ensuring alignment with institutional priorities.
- Ensures operational processes reflect compliance standards and advance unit objectives.
Federal Compliance & Data Reporting (20%)
- In partnership with SLTS - Develops, verifies, and presents high-level compliance reports, including Clery statistics, trend analyses, and annual reports, for senior leadership and external stakeholders.
- Partners with Public Safety, OIE, and University leadership to ensure accuracy, mitigate redundancy, and maintain alignment with federal reporting requirements.
- Leads identification of compliance risks, oversees reporting workflows, and recommends corrective action plans to SRR senior leadership.
- Monitors legislative changes related to compliance and integrates required updates into unit policies and business processes.
- Reviews, supports, and signs off on the Annual Security Report prior to institutional publication.
Required Qualifications*
- Bachelor's degree
- 2-4 years experience utilizing student conduct database systems.
- 2-4 years experience managing or supporting institutional Clery compliance.
- 2 years experience developing reports and dashboards
Desired Qualifications*
- Masters degree in higher education, student development, or a technology-related field.
- 4+ years of progressive leadership experience in student conduct database systems, compliance management, or related higher education operations.
- 4+ years of experience overseeing institutional compliance, preferably with Clery or related federal regulations.
- Deep expertise with Advocate or similar enterprise case management platforms.
- Experience leading large-scale compliance reporting, policy interpretation, and data operations.
- Demonstrated success in developing key data points, compiling complex reports, and presenting findings to executive leadership.
- Understanding of student conduct processes, conflict resolution, and compliance strategy.
- Experience managing cross-functional projects impacting institutional risk and compliance.

Working Conditions:
This position is on-site in a typical office environment at the Ann Arbor, MI Campus location.
Physical Requirements:
The position remains in a stationary position for extended periods and occasionally moves items weighing up to twenty-five (25) pounds.
