Who We Are

Now in its 148th season, UMS continues to showcase traditional performing arts alongside contemporary artists and is admired across the country for its boundary-pushing roster of artists and its curious and supportive audiences. 

Housed on the campus of the University of Michigan in Ann Arbor, UMS is one of the oldest performing arts presenters in the country, committed to connecting audiences with performing artists from around the world in uncommon and engaging experiences. With a program steeped in music, dance, and theater, UMS contributes to a vibrant cultural community by presenting approximately 60-75 performances and over 100 free educational activities each season. UMS also commissions new work, sponsors artist residencies, and organizes collaborative projects with local, national, and international partners.

What You'll Do

The Development Coordinator provides administrative and project support to the Vice President and Chief Development Officer and the Development team to ensure the effective coordination of priorities, communications, meetings, and expense reporting. The role serves as an administrative partner: helping to manage departmental budgets, preparing materials and correspondence, handling sensitive and confidential matters, and supporting the execution of key departmental activities. In addition, this position provides project coordination and operational support for donor relations efforts, including donor event management, communication management, donor stewardship and recognition, and donor ticketing needs. Duties will include both routine, regular tasks as well as more seasonal, occasional ones, utilizing both knowledge of the policies and procedures within the UMS Development department as well as a general understanding of other departmental functions across the organization.

Donor Stewardship & Donor Event Support (45%)

  • Serve as a conduit between the Development and ticket office departments to provide concierge-level service to donors.
  • Coordinate all donor and sponsor recognition around UMS performances, including concert emails, print materials, signs, and pre-concert announcements.
  • Coordinate sponsor ticket requests, from donor outreach to UMS's ticketing office to delivery.
  • Compile donor data for event invitations.
  • Manage RSVPs for events, including handling phone calls, emails, and Google form responses.
  • Upload event RSVPs into UMS's two databases.
  • Order flowers, gifts, and other items delivered to donors and volunteers for birthdays, anniversaries, and other occasions.

Administrative Support (45%)

  • Answer and ensure coverage for the Development department's central phone line; provide excellent customer service to respond to callers' requests and/or direct matters to appropriate individuals for action as needed.
  • Support Development staff as needed with preparation of materials for various organizational boards and volunteer committees.
  • Assist with department communications as needed, including event and appointment briefings, letters, and proposals and reports.
  • Update and add pertinent details to donor records in both of UMS's donor databases.
  • Draft gift agreements and liaise with U-M Office of General Counsel (OGC) and UMS Finance Team for edits and approval.
  • Manage and track business trade partnerships and usage across the organization.
  • Update and manage committee lists in University of Michigan databases.
  • Obtain receipts and prepare expense reports for submission and reconciliation.
  • Record credit card reimbursements and reconcile the departmental budget against finance department reports.
  • Help manage annual subscriber and ticket buyer data updates with the Office of University Development.
  • Review historic donor information for inaccuracies and updates and provide updates to the Development Team.
  • Order office supplies and organizational stationery for the Development Team.
  • Other duties as needed and assigned.

Other Support (10%)

  • Participate in weekly Development team meetings and help manage workflow, next steps, and follow up on agenda items. 
  • Perform other duties as assigned.

Required Qualifications*

  • 2-3 years of administrative and/or project experience, or a related bachelor's degree with a minimum of 2 years of relevant experience
  • Experience with data management systems
  • Experience with Google Suite (Gmail, Calendar,  Docs, Sheets, Drive).
  • Experience with Microsoft Office 365 suite (Word, Excel, and PowerPoint).
  • Superior attention to detail and accuracy.
  • Ability to set priorities, handle multiple assignments and deadlines, and display mature judgment while operating in a flexible and professional manner.
  • Excellent written and oral communication and interpersonal skills.
  • Ability to effectively communicate and work with a variety of constituents and stakeholders in a fast-paced, customer service environment.
  • Ability to work both independently and as part of a team.
  • Commitment to excellent customer service for internal and external constituents.
  • Discretion when dealing with highly sensitive information.
  • Occasional availability to help staff Development events on evenings and weekends.

Desired Qualifications*

  • Bachelor's degree in related field.
  • Experience with DART and Tessitura.
  • Experience working in a non-profit organization.
  • Experience working in a higher education setting.

Work Locations

This is a full-time position that occasionally requires evening and weekend work, with a core weekday M-F schedule. It is based in Ann Arbor, MI, on the campus of the University of Michigan.
