Job Summary

Michigan Medicine seeks a temporary Administrative Assistant to provide high-level administrative support to the Senior Director of Human Resources and Labor Relations. This role requires professionalism, sound judgment, and a high degree of discretion when handling sensitive and confidential employee and labor relations matters. The successful candidate will manage multiple priorities in a fast-paced environment and serve as a key point of contact for the Senior Director's office, providing day-to-day administrative and operational support across HR and Labor Relations priorities.

Assignment: October 26, 2026 - January 22, 2027 (approximately 3 months). 

Responsibilities*

  • Answer and route incoming calls and emails, using discretion in directing sensitive HR and labor relations inquiries
  • Manage the Senior Director's calendar and coordinate meetings, including identifying availability, communicating with participants, sending invitations, reserving meeting space, and arranging Zoom or hybrid meeting details
  • Schedule and coordinate meetings with HR leadership, HR business partners, labor relations staff, union representatives, and other internal and external stakeholders
  • Prepare meeting materials such as agendas, copies, and Zoom links
  • Take and distribute meeting notes and action items
  • Maintain organized, confidential files and records, in both electronic and hard copy
  • Assist with coordinating HR team events, trainings, and leadership meetings (room setup, catering, check-in)
  • Provide general administrative support for HR and Labor Relations projects and priorities as assigned

Required Qualifications*

  • Minimum of 2 years of administrative experience 
  • Strong calendar management and meeting coordination experience
  • Proficiency with Microsoft Office, Google Workspace, and virtual meeting tools
  • Excellent organizational, multitasking, and problem-solving skills
  • Demonstrated attention to detail and ability to anticipate needs, follow through on assignments, and manage time-sensitive requests with minimal supervision
  • Strong written and verbal communication skills
  • Demonstrated ability to handle highly confidential and sensitive information (such as personnel, employee relations, and labor matters) with discretion and integrity
  • Proven ability to work independently and collaboratively in a dynamic environment

Desired Qualifications*

  • Prior experience in a Human Resources, Labor Relations, or Employee Relations office
  • Experience in a healthcare, academic, or other large, complex organizational setting

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act.
