We have an opening for an Administrative Assistant Senior to join our team to provide a range of administrative support activities for the Data Science for Dynamic Intervention Decision Making Center, d3c. The administrative assistant will work closely with and under the supervision of senior staff and research faculty.

d3c, https://d3c.isr.umich.edu/, is an interdisciplinary collective of data scientists developing the methods scientists need to create personalized interventions that improve people?s health and well-being.

Responsibilities*

General Administrative Support

  • Assist in planning, organizing and facilitating regular and ad hoc meetings, seminars, workshops, and other events in hybrid, in-person, or virtual settings.
  • Prepare itineraries with complex meeting schedules.
  • Handle travel and/or hosting arrangements for faculty, staff, students and visitors
  • Create, submit and reconcile expense reports/reimbursements for research faculty, fellows, staff, visitors and guests in timely and accurate manner, providing appropriate supporting documentation to support the expense requests.
  • Answer, screen, and triage inquiries; attend meetings, take notes, and draft correspondence.
  • Maintain shared office spaces (ordering supplies, stocking kitchen, distributing mail, etc).
  • Provide accounting support (e.g., journal entries, vouchers, non-POs, Statement of activity reconciliation)
  • Provide administrative support to d3c faculty and staff (purchasing, printing, room reservations, etc.)
  • Any other duties as assigned 

 

Director Support

  • Manage complex calendars for two to three research faculty.
  • Maintain director and unit records for grant reporting purposes.
  • Assist with special projects as required including assimilating information for grant reporting.

Required Qualifications*

  • Bachelor's degree or an equivalent combination of education and experience.
  • Minimum of 4 years of demonstrated excellence in administrative support.
  • Professionalism, strong work ethic, demonstrated sense of responsibility, discretion and reliability.
  • Demonstrated ability to take initiative, solve problems, adapt to changes quickly, and work effectively independently and collaboratively as a member of a team.
  • Excellent verbal and written communication skills. Timely and consistent
  • communication and follow-through.
  • Knowledge and experience in event logistics.
  • Demonstrated proficiency with Microsoft Office products and Google suites (Gmail, Calendar, and Drive) and communication applications such as Zoom.
  • Strong organizational skills that include attention to detail, the ability to assess competing priorities and to multitask, and the ability to achieve results on time.

Desired Qualifications*

  • Working knowledge of U-M policies, rules, regulations, procurement and purchasing.
  • Experience with M-Pathways, Chrome River, and other U-M administrative systems.
  • Administrative support experience in a U-M department or program.

Work Locations

You'll work on-site at the University of Michigan, Institute of Social Research, Survey Research Center in Ann Arbor.  We offer flexibility for hybrid work within our overall Center guidelines. Flexible work guidelines for this D3C  position is 100% in-office for the training period. After completing the training period, candidates are eligible for hybrid work mode at the discretion of the hiring department.
