Job Summary

As the Executive Assistant you are an executive level partner to the Chief Operating Officer/Chief of Staff (COO/COS) and Senior Executive Director, Stewardship and Events and Special Liaison to University Leadership (SED) in the Office of University Development (OUD). Administrative support including travel coordination, calendar management, expense reconciliation, and scheduling is central to this position. Additionally, you will design and write communications - emails, letters, reports, and presentations on behalf of the SED and COO/COS. You will perform tasks that are often confidential and require proactive thinking and anticipation of needs.

Responsibilities*

Executive Administrative Support (50%)

  • Coordinate complex calendars including the scheduling of complicated meetings and conference calls, exercising discretion and judgment.
  • Prepare those they support for upcoming meetings and deadlines. This includes anticipating needs, providing preparation materials, and supporting communication and follow-up for appointments. 
  • Help manage email: organizing and responding to emails as requested while maintaining confidentiality.
  • Obtain receipts and prepare expense reports for submission and reconciliation.
  • Prepare, draft, edit, and finalize attractive and professional emails and communications, including proposals, letters, memos, presentations, meeting minutes, or other materials. 
  • Extract and compile data and create reports.
  • Act on behalf of those they support and the Office of University Development in handling inquiries

Organizational Operations and Special Project Support  (20%)

  • Partner on meeting design and coordination including calendaring, catering, room reservation, set-up, note-taking, for team or larger meetings, retreats, and other special events.
  • Prepare documents and presentations to support organizational planning, resource tracking, special projects, and other related items.
  • Partner with COO/COS to develop and implement strategies for team-building and engagement.

Presidential Engagement and Donor Relations Support (20%)

  • Partner with the SED to track presidential engagement opportunities in collaboration with colleagues.
  • Redesign and create presidential briefing materials for football season and other events.
  • Ensure that accurate records are maintained.
  • Draft emails and communications on behalf of the SED and on behalf of other university leadership to support their work.
  • Oversee the annual engagement plan for the President's Advisory Group in collaboration with the SED.

Consultation, Education, and Special Projects (10%)

  • As a member of OUD's onboarding team, you will partner with hiring managers to support new hire onboarding and offboarding processes for select positions.
  • Manage departmental facilities, equipment, and supplies.

Required Qualifications*

  • 3+ years of administrative and/or project experience, or a bachelor's degree with 2+ years of administrative and/or project experience
  • Relationship-building with internal and external constituency groups and to ability to work with colleagues in a team environment. 
  • Excellent project management skills
  • Create office communications with accuracy and grammar skills
  • Demonstrated discretion when dealing with confidential information
  • Articulate messages, information and ideas to a diversity of people, leading to shared understanding
  • Excellent customer service
  • Commitment to diversity, equity, and inclusion in the workplace
  • Work flexible hours with rare, occasional weekend or evening work

Modes of Work
