Job Summary
The Administrative Assistant for the Institute for Energy Solutions (IES) has the role of contributing to and supporting IES activities, including event planning and logistics as well as information dissemination. These important efforts will help support the work of the Institute Director, Associate Director, Program Manager, Research Specialist, and Steering Committee to enable existing and future energy programs and opportunities at the University of Michigan. The IES supports and expands University of Michigan expertise in energy systems, spanning all colleges, schools, and disciplines. Individuals are expected to come into the position with good interpersonal skills and the ability to quickly learn new administrative skills and systems, such as room booking, food booking and coordination, expense reporting, website updates, and information tracking.

Responsibilities*
- Contribute to and support IES event efforts through scheduling, room booking, food coordination, planning arrangements for speakers/guests, etc.
- Advertise upcoming IES events and activities and support IES news dissemination through mailing lists and newsletter
- Update the IES website with energy news, events, and activities
- Support logistics for new and existing energy-related research and educational initiatives and projects, both those led by IES and led by collaborators of IES
- Participate in and contribute to IES programming
Required Qualifications*
- High school diploma, or equivalent
- Ability to work independently
- Strong interpersonal skills
- Demonstrated ability to communicate effectively with faculty, staff, and students with the ability to deliver consistent and clear messages to a diverse group with differing perspectives or roles in process
- Excellent organizational skills with proven ability to prioritize multiple responsibilities with careful attention to detail
- Skilled in Google and Microsoft Office platforms
Desired Qualifications*
- Bachelor's degree, or equivalent combination of education and experience
- Prior experience in administration
- Prior experience with interdisciplinary collaborations
- Eagerness to learn more about energy systems and technical familiarity on energy science and technologies
- High level of creativity and novel ideas on how to improve the quality of programs and efforts that the IES provides
Modes of Work
The Institute for Energy Solutions operates in a hybrid work environment consisting of both in-person and remote work. Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Work agreements are reviewed annually at a minimum and are subject to change at any time, and for any reason, throughout the course of employment. Additional Information
This is a part-time (20 hours/week) term-limited regular staff position through August 31, 2025, with possible renewal.
