Job Summary

The Department of Environment, Health & Safety is seeking a dynamic, detail-oriented, highly organized Graphic Design/Instructional Design/Training Assistant to join our team at the University of Michigan. This position supports EHS Safety Training and requires a mix of collaborative and independent effort to develop effective marketing and training materials, and facilitate meaningful in-person/virtual experiences within a diverse environment. The successful candidate will be professional, demonstrate a high level of integrity and trust, be self-motivated, able to adapt to changing circumstances and actively model behaviors that support a positive and inclusive workplace culture.

Responsibilities*

  • Develop and implement communication strategies to promote departmental activities through various channels (email, socials, newsletters, U-M event platforms, Google sites), including content creation, cross-campus coordination and distribution, event materials and day-of support
  • Design and prepare training and marketing materials and maintain an organized library of resource materials; including job aids, program evaluation surveys, informational flyers, print and digital campaigns
  • Create and manage digital assets and licensing, and maintain brand and accessibility standards across platforms
  • Manage email marketing accounts, maintain contact lists and distribute targeted departmental newsletters for internal audiences
  • Manage and track email communications and social media to make data-informed recommendations for continuous improvement
  • Collaborate with subject matter experts to identify training objectives and develop relevant instructional content, actively participate in meetings to collect information and track action items
  • Apply instructional design principles to build eLearning content and evaluate courses to improve comprehension and end user experience 
  • Review and test eLearning modules to ensure proper launching and functionality. 
  • Work effectively in our learning management system, My LINC and our design tool dominKnow 
  • Maintain accurate tracking and reporting of training records through manual data entry
  • Contribute to the planning, management and execution of EHS programming, including in-person, hybrid, and virtual events to provide consistent and professional experiences; including registration, notifications, scheduling, rosters, room and audio-visual equipment reservations, catering, Zoom recordings, closed captioning, virtual breakout rooms, physical space set up/tear down, hosting paperwork, photography/videography, etc.
  • Course and equipment scheduling within the learning management and calendaring systems
  • Provide customer support for training, learning management system and audio/visual technology inquiries
  • Oversee all aspects of technical event production, including shooting and editing high-definition photos and videos, set up and tear down of equipment, and editing to produce results quickly and accurately
  • Perform administrative tasks related to training and event coordination, including packages, deliveries, printing, wayfinding, table tents, name tags, sorting, filing, etc.  
  • Handle sensitive information with discretion and make informed judgment calls independently
  • Develop and sustain positive and collaborative relationships and communications 
  • Support a diverse and positive organizational culture, and participate in special projects as assigned 

Required Qualifications*

  • Effective collaboration and communication skills including verbal, written, spelling, grammar, punctuation and style
  • Proficiency using computer applications such as Adobe Creative Suite, Microsoft Office, Google Suite applications (Calendar, Forms, Sheets, Docs, Sites, etc.), Zoom and other collaboration tools 
  • Highly self-motivated and self-managed; ability to work independently and as part of a team
  • Strong customer support orientation and problem-solving abilities; responsiveness to customer requests and ability to meet the customer at their level of technological proficiency 
  • Demonstrated ability to consult with business partners and establish positive relationships within the organization and community
  • Able to organize tasks for several projects at once and work under strict deadlines, while producing quality deliverables 
  • Photography and/or video production and editing experience
  • Graphic design, communications, marketing education and experience
  • Skilled at content creation across a variety of platforms
  • Able to quickly learn, understand and utilize learning management system, authoring, email marketing automation, photo/video editing tools and data visualization software:  SumTotal, domiKnow ONE, Klaviyo, Adobe Suite including Illustrator, Express, Photoshop, Premiere Pro video editing software, and Tableau
  • Experience in all types of event coordination
  • Strong attention to detail with a commitment to producing high quality work
  • Commitment to fostering a positive and diverse organizational culture

Desired Qualifications*

  • Experience with databases, course/learning management systems, authoring tools, photography/videography
  • Project management skills with ability to set priorities and work simultaneously on numerous tasks under strict time and production deadlines, with strong attention to details
  • Demonstrated organizational and creative problem solving skills
  • Ability to research and understand complex concepts quickly
  • Demonstrates continuous willingness and ability to learn new skills, technologies and industry trends to improve job performance and support to overall team success
  • Successful candidates for this position will be effective communicators who value collaborative teamwork
