Job Summary

We are seeking a highly motivated and adaptable Administrative Assistant Intermediate to provide high quality administrative support for the Central Staffing Resource (CSR) department.

Responsibilities*

CSR Main Office Administrative Duties

  • Support the Leadership team in the Central Staffing Resource Department, ensuring smooth 24/7 operations.
  • Utilize strong computer skills and software expertise to handle various job aspects.
  • Demonstrate mastery of staffing processes, streamlining procedures for efficiency.
  • Collaborate with project teams, maintaining staffing reports and contributing to workgroups.
  • Create and manage computer reports and spreadsheets, aiding decision-making.
  • Skillfully manage our multi-line phone system, enhancing communication flow.
  • Proactively spot trends, voice concerns, and suggest improvements to standards.
  • Participate in Quality Improvement initiatives, engaging in audits and self-monitoring.
  • Showcase excellent customer relations when working with managers and staff.
  • Execute project assignments from your manager with dedication.

Required Qualifications*

  • High School diploma or equivalent and more than 3 years of experience
  • Three to five years performing responsible office duties or an equivalent combination of education and experience
  • Ability to manage timekeeping data from multiple sources
  • Proficient with Microsoft Office Suite and spreadsheets
  • Ability to work independently and cooperatively
  • Demonstrate ability to prioritize and complete tasks in a timely manner
  • Able to utilize tracking and follow up skills to monitor and coordinate a large volume of work
  • Demonstrate attention to details. 
  • Able to work under pressure when a high degree of accuracy is required
  • Demonstrate excellent verbal/written communication skills
  • High level or organization and time management skills
  • Must be able to work every other weekend, be available for on-call shifts and work some holidays
  • Excellent attendance and professionalism

Desired Qualifications*

  • Two years or more of college education
  • Critical thinking skills and decision making experience
  • Experience working in the clerical and nursing scheduling books in the CSR Central Staffing Office
  • Knowledge of University and CSR Department procedures
  • Good knowledge base of Nursing Contracts
  • Experience with OneStaff computer scheduling system

Work Schedule

This is a night shift position. Shifts are 11:00pm to 7:00am or 7:00pm-7:00am. Alternating weekends, some Holidays, and on-call shifts are required. 

Work Locations

This position is in the Central Staffing Resource (CSR) department and is on-site only.

Modes of Work

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
