Job Summary

This is a one-year term-limited appointment. 

Collaborate closely with leadership and employees to offer guidance and counsel on a wide range of human resources matters. This includes overseeing and engagement with recruitment, evaluating compensation and job classifications, and collaborating for completion of HR administrative tasks. Work in conjunction with various teams within the College of Pharmacy (COP), University Human Resources, Academic Human Resources, and other HR partners to enhance COP's inclusive and positive work environment, enhance organizational effectiveness, drive desired outcomes, and ensure the clear communication and implementation of HR procedures. Continuously introduce innovative improvements to HR operations by incorporating best practices. This position will report directly to the Senior Human Resource Officer, College of Pharmacy. While this position is hybrid-eligible, it does require an on-site presence as determined by the direct supervisor and subject to change based on operational needs.

30% Management of General HR administrative tasks:

  • Assist with HR administration for the College of Pharmacy. Assist employees, prospective employees, supervisors, and leadership with completing various HR activities and/or advise and answer questions related to University and College policies, procedures and practices (HR, Payroll, etc.) for academic and non-academic positions. Monitor the status of HR appointments, visas, and other HR matters, including policy changes, and determine and initiate best courses of action in collaboration with the Senior HR Officer. Special projects as needed.

25% M-Pathways HR Administration: 

  • Coordinate and process various types of HR transactions including, but not limited to; job data changes, pay and pay distribution changes, hires, terminations, leaves, batch uploads, and additional pay for various types of employees, such as regular staff, student and non-student temps, others as needed. Prepare PAR transactions for tuition advance and reimbursement requests. Prepare forms for both tuition advance and/or reimbursement and reconciliation of moving and relocation expense. Perform the role of unit timekeeper for the College; respond to timekeeping and payroll inquiries and resolve issues as needed.

25% Recruitment Responsibilities: 

  • Work in collaboration with hiring managers, administrative personnel, and other stakeholders to streamline the recruitment, onboarding and offboarding processes for various appointment requests, including the use of eRecruit as appropriate.  When it comes to staff recruitment, this entails tasks such as posting new job openings in e-Recruit and external channels, actively seeking candidates, conducting applicant screenings, distributing resumes, managing application dispositions, preparing job offers, composing offer letters, and overseeing the onboarding process.
  • For staff positions, screen applicants and provide recommendations for open administrative staff roles. Additionally, proactively monitor candidate pools to ensure diversity in alignment with the university's and unit's objectives. Evaluate requests for the appropriate job classification and salary range, collaborate with staff HR and University Compensation and Classification when required. 
  • Partner with the HR team and other stakeholders to streamline the onboarding and offboarding processes for various HR appointments, encompassing tasks such as setting up MCommunity sponsorships, processing MCard requests, granting necessary ITS access privileges, designating IRO status, ensuring compliance with training and certification prerequisites, and managing OARS access.

10% Immigration Matters: 

  • Manage and oversee the processing of J-1, H-1B, and Green Card petitions, and verify the ongoing eligibility of foreign nationals. Foster communication with faculty, staff, the International Center, SSC staff, and other stakeholders to guarantee the accurate completion of immigration paperwork within prescribed deadlines, while adhering to the guidelines set forth by the College, the University of Michigan, and federal regulations.

10% Additional HR Responsibilities: 

  • Engage in generating ad-hoc reports, contributing to special projects, and providing strategic support through tools such as Business Objects, Tableau and other university data systems. Actively participate in departmental teams to identify and implement enhancements and efficiencies in processes. Develop resources such as job aids, "How To" documents, and procedural guidelines to document policies, procedures, and best practices.
  • Collaborate with OFHR team members to ensure cross-training and coverage during vacations, sick leaves, or busier periods throughout the year. Fulfill the role of the I-9 and e-Verify compliance officer for the college. Also, be prepared to undertake other duties as assigned.

Required Qualifications*

  • Bachelor's degree in human resources, business administration, or equivalent combination of education and experience. 
  • Three (3) years or more of professional experience in human resources with experience partnering with managers and employees to promote an inclusive and positive culture. 
  • Experience interpreting and implementing HR procedures. Experience using HR management systems and data query tools. 
  • Experience in MS Word, Excel (can maintain complex spreadsheets), Google drive.

Desired Qualifications*

  • 5 years or progressively responsible experience in Human Resources, preferably in in a higher education environment. 
  • Knowledge of University of Michigan's policies and procedures.
  • Proficient in HR PeopleSoft and business objects for ad-hoc queries. 

Modes of Work

Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Term-Limited Appointment

This position is term-limited for 1 year with the possibility of renewal based on need and available funding. At the end of the stated term, your appointment will terminate and will not be eligible for Reduction-in-Force (RIF) benefits. This term-limited appointment does not create a contract or guarantee of employment for any period of time as you will remain subject to disciplinary or other performance measures, up to and including termination, at the will of the University in accordance with existing University policy and standards for employee performance and conduct.
