Job Summary
In 2023, the President's Office established the Ethics, Integrity and Compliance Office (EICO). The EICO is currently seeking an experienced professional to support the work of the EICO. The EICO will help units coordinate ethics, integrity, and compliance activities and offer guidance on compliance questions across the Ann Arbor, Dearborn, and Flint campuses, as well as Michigan Medicine. We are seeking an experienced professional to manage the full scope of policy and compliance-related projects involving partners from multiple units across the university. The Ethics, Integrity and Compliance Specialist (EICS) will provide key administrative, technical, and operational support for the university's policy and compliance functions. This role will assist in the coordination, tracking, and communication of institution-wide policies and compliance responsibilities. Key aspects include ensuring support that facilitates the maintenance of organized systems for policies and compliance tracking and responsibility for timely and accurate updates to records. This role requires strong attention to detail, the ability to work with diverse institutional partners, including top executives, and comfort with administrative tools and digital platforms. You will report directly to a senior-level staff member of the university's EICO. You will have independent responsibility for a significant volume and variety of administrative functions, handling matters of a confidential and sensitive nature. You will regularly interact with senior leaders, faculty, and staff at all levels of the organization. Providing excellent assistance to EICO leadership, the position's demands are variable in nature, type, and volume. The job responsibilities are shaped by the needs of the EICO activities, which may vary over time. This position will be primarily on-site in Ann Arbor with the opportunity for a hybrid schedule in accordance with operational needs. Occasional work on evenings and weekends may be required to accommodate the office schedule and events.

Responsibilities*
- Assist the Director of Policy and Accountability with organizing and maintaining the university's policy library, including institutional policies and organizational charts.
- Track the review schedules and status of institutional policies; maintain version control and ensure updates are reflected in the policy repository.
- Format and proofread documents and assist with uploading content to the policy website.
- Develop, refine, and manage the process for policy and organizational chart change requests, and communicate with owners and reviewers throughout.
- Provide administrative support for maintaining the university's compliance matrix, including updating contact lists, documentation, and ownership records.
- Assist with distributing compliance matrix review requests to institutional partners and monitoring responses.
- Organize compliance information by topic or regulatory area to support institutional tracking and reporting.
- Schedule meetings and assist with logistics for review committees, compliance meetings, and working groups.
- Maintain well-organized files and documentation related to policy approvals, compliance assignments, and institutional reviews.
- Assist in compiling information for internal reports or presentations.
- Help draft internal communications and website content under the direction of the EICO Leadership Team.
- Support compliance awareness efforts by coordinating outreach materials and communication schedules in collaboration with the EICO's Communications Specialist.
Required Qualifications*
- Associate's degree or higher, preferably in a relevant field such as legal studies, social sciences, political science, or business administration or an equivalent combination of skills and experience.
- A minimum of two years professional experience in administrative support, preferably in higher education or a compliance-related environment.
- Strong organizational and administrative skills, with attention to accuracy and recordkeeping.
- Ability to manage multiple tasks, prioritize effectively, and meet deadlines.
- Clear written and verbal communication skills, with the ability to prepare clear summaries and reports.
- High attention to detail with demonstrated skills in data entry, document management, and recordkeeping.
- Proficiency with Google Suite and Microsoft Office Suite of products.
- Discretion in handling sensitive and confidential information.
Desired Qualifications*
- Familiarity with university policy structures, compliance functions, or regulatory frameworks.
- Experience with Governance, Risk, and Compliance (GRC) software, policy management platforms, case management tools, or similar enterprise software systems.
- Strong understanding of web accessibility standards, including WCAG 2.1 guidelines, and experience ensuring online documents and content are accessible to users.

Underfill Statement
This position may be underfilled at a lower classification, depending on the qualifications of the selected candidate. The salary range for the lower classification, EIC Compliance Specialist Associate, is $59,000 to $69,000.
