Job Summary
This role will assist with all aspects of event planning and execution within OABL - primarily working with internal and external vendors, managing event budget, and supporting the program managers in event success. This role will also assist with key areas of travel coordination within OABL - primarily in communicating travel visa & immunization requirements to teams traveling internationally and supporting budget & expense reporting for all ABL programming.

The Office of Action Based Learning (OABL) helps Ross students develop their leadership talent through action-based learning programs that connect the world of ideas to the world of practice. Action-based learning is a creative, interactive experience that integrates individual preparation, team-based projects, and classroom discussion. These learning opportunities come in the form of Multidisciplinary Action Projects (MAP) and One-Year Masters (OYM) Consulting Studio - project-based courses in which a team of students address a business challenge on behalf of the sponsoring organization. The organizations range in size from Fortune 100 corporations to small entrepreneurial firms. This collaborative process benefits our students, faculty, and global organizations.
Responsibilities*

Travel Coordination (40%)
- Assisting Program Coordinator with travel planning and facilitation, which includes researching visa and immunization requirements.
- Facilitate visa processing and serve as the main point of contact for students through the visa application process.
- Manage and record information for all student travelers, ensuring students complete visas, vaccinations, travel health and safety protocols.
- Communicate with students and staff regarding travel arrangements and provide support to the Program Coordinator as needed.
Event Coordination (40%)
- Planning and coordinating major events (ie info sessions, reveals, kickoffs, etc.) for all ABL programs.
- Assisting with scheduling of event space and meeting rooms.
- Coordinate and communicate with internal and external vendors.
- Maintain event calendar, timeline, and budgets.
- Attend events to assist with setup and execution as needed.
Data and Process Management (20%)
- Assist with project data management as needed.
- Updating and maintaining online platforms (Canvas, Airtable, GDrive etc.) as well as other shared documents that support and enable OABL events.

- Ability to handle sensitive and confidential information
- Ability to work independently and function well in a team environment
- Ability to manage multiple projects simultaneously
- Ability to create polished, professional materials (slides, infographics, cards, etc)
- Quick learner of new technologies and applications
- Familiarity with design tools a plus
Physical Demands/Work Environment:
- The person in this position routinely communicates with supporters and senior leadership external to Ross as well as key partners within the school.
- The person in this position occasionally moves through the building to attend meetings/events and access files or information.
- In-person availability required during key events and busy travel periods (especially M-Th), but some flexibility available for remote work depending on task.
- May require minimal work during early mornings, nights and/or weekends occasionally for major events hosted by our department.
