The Office of the Registrar is committed to ensuring the integrity of the University's academic records.  We strive to enhance the educational experience by serving students, faculty, staff, alumni, and the world-wide community in responsible use of these data and related information systems. Reporting to the assistant registrar, this position reports directly to the Records and Enrollment unit with significant support and responsibilities in the Transcripts, Certification, and Diploma unit.

Reporting to the Provost and Executive Vice President for Academic Affairs, the Office of Enrollment Management (OEM) manages U-M's enrollment function to efficiently optimize students' experiences throughout their engagement, from prospect to alumni. The division collaborates with campus partners, faculty, and staff in support of the university's mission.

OEM comprises a dedicated team of more than 200 full-time staff members and up to 400 additional student and temporary staff and is structured in five operational units - the Office of Undergraduate Admissions, the Office of Financial Aid, the Office of New Student Programs, the Office of the Registrar, and OEM Administration. OEM strives to provide excellence in access and support to inspiring learners who will challenge the present and enrich the future.

Responsibilities*

40% Records and Enrollment

  • Using M-Pathways student information system (PeopleSoft), provides first-level support to students, alumni, faculty and staff. Protects sensitive data, maintains secure workspace and vigilant against data security breaches. Initiates tech solutions and submits helpdesk tickets to ITS. 
  • Assists with updating student records, including transfer credit and study abroad.  Assists department with deceased record processing and notifications, duplicate ID research and processing, and other duties related to student records.
  • Serves as first-level support to schools, colleges and instructors. Provides general information regarding university policies and procedures and assists faculty and staff with questions. 

10% Non-Enrollment Degree Requirements Processing

  • Using M-Pathways student information system, updates student Form of Study for undergraduate and graduate students in experiences required for degrees but not registering for classes.
  • Troubleshoots when students are enrolled, but Non-Enrollment form of study is requested. Works with schools to determine the correct form of study for the appropriate terms and update student information as appropriate.

25% National Student Clearinghouse (NSC) Support

  • Assists with the review of monthly enrollment reports. Runs queries and performs manual updates to the Student Consolidated Statistics panels in M-Pathways.
  • Researches and posts degree information to the National Student Clearinghouse?s database for the DegreeVerify Service. 
  • Investigates and resolves NSC and National Student Loan Data System error reports. 

20% General Support

  • Assists Transcripts, Certification, and Diploma and Records and Enrollment departments with daily activities.  Provides coverage for telephones and email queues as assigned.  
  • Assists in maintaining, updating, and writing office procedures, incorporating changes due to system updates, process improvements, and new processes. Participates in projects and process improvement initiatives as assigned. 
  • Assists with testing system capabilities and updates.

 

5% Other

  • Provides front desk and phone coverage at Student Services Center in Student Activities Building (SAB) for occasional staff absences.  Greets and assists customers with various student service functions including but not limited to class registration, account information, address and name changes, ordering transcripts, and graduation applications.
  • Other duties as assigned

Required Qualifications*

  • Bachelor's degree or equivalent combination of education and experience. 
  • Considerable customer service experience and experience with appropriately handling confidential and sensitive information.
  • Proficiency in common Microsoft Office software, particularly Word and Excel
  • Demonstrated knowledge and ability to interact positively with a diverse population.
  • Excellent verbal and written communication skills, and strong interpersonal skills.
  • The ability to work effectively in a team environment and independently, with minimal supervision.
  • A high level of organization skills, a meticulous attention to detail, and the ability to consistently produce highly accurate work.
  • The ability to manage and organize complex information; ability to use analysis and critical thinking skills to solve problems,
  • The ability to interpret University, federal and state regulations/policies/procedures.

Desired Qualifications*

  • Experience with the M-Pathways student information system and/or the Oracle PeopleSoft CS system.
  • An excellent understanding of the policies and procedures of the University, the academic units, and the Office of the Registrar, and systems related to the records/registration.
  • Knowledge of FERPA and other federal/state laws and regulations related to higher education.
  • Demonstrates an ability to incorporate innovative practices into the workplace to enhance effectiveness and efficiency.

Modes of Work

The Office of Enrollment Management requires a hybrid work arrangement of minimally three days on-site and two remote days. Thursdays are required as an on-site work day for all members of the OEM team.
