Responsibilities*

The Robotics Administrative Assistant provides essential support to the department's Human Resources and Student Services teams, while also assisting with general office operations and events. This role helps ensure smooth daily operations, timely communication, and quality service for students, faculty, and staff.

Key Responsibilities:

Support HR functions, including student hiring, time tracking, and appointment processing.

Manage shared inboxes, mail distribution, and scheduling of committee meetings.

Assist with student services tasks such as event support, SURE program coordination, and test accommodation requests.

Provide backup support for room reservations and general administrative needs.

Help with faculty course support, departmental events, and office/equipment upkeep.

 

Required Qualifications*

  • 1-2 years of relevant administrative or office experience, preferably in higher education or a comparable setting.
  • Demonstrated ability to manage multiple priorities and meet deadlines with accuracy and attention to detail.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills, with the ability to work effectively with faculty, staff, and students.
  • Experience with standard office software (e.g., Microsoft Office Suite, Google Workspace) and ability to learn university systems.
  • Proven ability to work independently as well as collaboratively in a fast-paced environment.
  • High level of professionalism, discretion, and sound judgment in handling confidential information.
  • Flexibility, adaptability, and problem-solving skills to manage shifting priorities and respond to unexpected needs.

Modes of Work

Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Work agreements are reviewed annually at a minimum and are subject to change at any time, and for any reason, throughout the course of employment. Learn more about the work modes.

Additional Information

This position is designated as a seasonal, full-time appointment. The anticipated work schedule is from mid-August through mid-May, with a non-working period from mid-May through mid-August each year. The posted pay range reflects the compensation for a 12-month, full-time position; however, annual earnings will be prorated to reflect nine months of active employment during the seasonal appointment period.
