Job Summary
As a high-functioning leader within the organizational structure of the College of Arts, Sciences & Education (CASE), the CASE Office Senior Supervisor oversees daily administrative operations and supervises staff within the College. The Office Senior Supervisor supports the academic, professional, and operational objectives of CASE by supervising financial and general support/reception staff (6 positions at present), managing administrative processes, coordinating staff activities and professional development, and collaborating to foster a positive and efficient workplace environment. The Office Senior Supervisor reports to the Dean of CASE.This role will collaborate with CASE leadership and other partners on campus
Responsibilities
Management and Leadership
- Lead and oversee the daily operations of the CASE administrative office, ensuring the smooth and efficient functioning of processes.
- Directly supervise and provide leadership to a team of financial administrative staff and general support/reception staff.
- Manage supervised staff schedules, delegate tasks, and evaluate performance to promote productivity and professional development.
- Coordinate with internal and external partners to provide staff professional development activities.
- Maintain good working relationships through regular meetings with supervised staff and supervisory peers, and Dean's Office colleagues..
- Develop, implement, and refine office procedures, ensuring compliance with college and university policies.
- Maintain current and accurate job descriptions for all supervised administrative staff.
- Regularly and collaboratively evaluate staff workload to ensure best utilization of resources and maintain workload balance.
- Oversee onboarding, training, and timesheet review/approval for new direct reports.
- Complete annual Performance Review Plan and make recommendations for merit increase amounts for supervised staff.
- Facilitate communication throughout the office and provide support for problem-solving and conflict resolution.
- Ensure maintenance and functionality of office equipment and supplies.
- Participate in Dean's Meetings, Council of Chairs, and other leadership meetings, as requested.
- Collaborate to foster a welcoming, inclusive, and respectful work environment.
Functional Administrative Support
- Establish solid functional knowledge of HR's systems and processes and functional knowledge of financial systems and processes.
- Serve as a backup to perform human resources systems and financial systems work, including post-award grant expenditures, when necessary
- Respond to, troubleshoot, or seek out solutions to staff inquiries/questions
Business Process Improvement
- Collaborate with Dean's Office personnel to ensure consistency in implementing common processes related to financial transactions
- Improve core financial services of the College by effectively working with financial services team to complete the work and develop & refine common processes
- Network and develop strong relations with other units on campus to foster collaboration and implement best practices
- Advise the Dean on University policies, procedures, and best practices across campus
- Develop and implement effective policies, procedures, internal controls and sub certification for administrative functions
- Assist with strategizing, planning, and executing business process improvements across the College
Required Qualifications*
- Bachelor's degree
- 3 or more years of experience directly related to the job responsibilities
- Demonstrated supervisory experience; leading teams of at least 5 people and manage staff performance.
- Knowledge of issues related to financial management, facilities planning, and human resources
- Proficiency in Google Suite and Microsoft Office Suite

Modes of Work
Hybrid:
The work requirements allow both onsite and offsite work and an employee has an expected recurring onsite presence. On occasion, the employee may be required and must be available to work onsite more frequently if necessitated by unit leadership or their designee and/or the job requirements.
