Job Summary

The Educator Certification Assistant will provide administrative support for all aspects of educator certification processes for teacher candidates at UM-Flint. Key responsibilities include auditing student records during student teaching semesters, maintaining permanent certification files, and ensuring accurate data entry into the Michigan Online Educator Certification System (MOECS).

This role processes field placement applications, coordinates eligibility notifications, and supports certification recommendations to the State of Michigan Department of Education. This position also verifies MTTC exam eligibility and pass rates, evaluates post-baccalaureate transcripts, processes changes to existing teaching certificates, and serves as an MDE certification liaison to resolve programmatic issues and respond to inquiries from students, faculty, and school districts.

Responsibilities*

Student Record & Certification File Management

  • Review student applications for fieldwork
  • Create and maintain digital student files, spreadsheets and other ways of monitoring student progress.
  • Store and manage permanent certification files for graduates, ensuring compliance with state audits.
  • Work closely with advisors to verify applicant information and eligibility.

Certification Systems & State Compliance

  • Verify registration of all students in licensing programs within Michigan Online Educator Certification System (MOECS); update records as needed.
  • Prepare and submit recommendations for teacher certification to the State of Michigan Department of Education post-graduation.
  • Manage ongoing certification application process, monitoring deadlines and changes from Michigan Department of Education (MDE).

Testing & Results Management

  • Review monthly MTTC eligibility rosters for students taking certification exams.
  • Verify each student's eligibility and maintain records to meet state certification pass rate benchmarks.
  • Input MTTC exam pass/fail results into Banner/SOATEST after each testing window.

Post-baccalaureate & Certificate Changes

  • Evaluate transcripts of post-baccalaureate candidates (both UM-Flint graduates and graduates from other institutions) seeking teacher certification.
  • Process changes to existing teaching certificates (endorsements and administrator certificates) for teachers completing post-baccalaureate work at UM-Flint.

State Liaison & Stakeholder Engagement

  • Serve as liaison to Michigan Department of Education (MDE) to resolve certification-related challenges.
  • Respond to certification inquiries from students, faculty, staff, and school districts.

Required Qualifications

  • High School Diploma or equivalent
  • 4 or more years of administrative support experience
  • Knowledge of the teacher licensure process
  • Understanding of MTTC testing processes and requirements
  • Knowledge of computer systems including microsoft and google suites
  • Experience setting up and maintaining of organization for digital record keeping systems

Modes of Work

Hybrid:

The work requirements allow both onsite and offsite work and an employee has an expected recurring onsite presence. On occasion, the employee may be required and must be available to work onsite more frequently if necessitated by unit leadership or their designee and/or the job requirements.
