Job Summary

The Administrative Coordinator provides high-level administrative support for Trotter Multicultural Center and Multi-Ethnic Student Affairs, working under general direction while exercising considerable discretion. You will analyze complex information requests, identify the latest trends, and support efficient daily operations across the unit.

Main responsibilities include coordinating events and programs, managing budgets and financial transactions, reconciling expenses, supporting grants and contracts, overseeing space reservations, and maintaining office systems. The Coordinator also manages executive calendars and communications, prepares reports, supports unit technology and communications platforms, and oversees student staff.

Responsibilities*

Event Logistics & Coordination (30%)

  • Lead weekly relationship-building and community engagement program (Communitea), including planning, facilitation, assessment, recruitment, and coordination of community partners.
  • Coordinate and publicize unit programs, including open houses, welcome events, and other programming across TMC and MESA.
  • Provide support for program logistics. This includes working directly with Program Managers and student organizations to implement programs. Additionally, it involves addressing event accessibility, food, and speaker policies.
  • Oversee student staff responsible for event marketing, branding, or facilitation.
  • Represent the unit at orientation and campus engagement events and in Welcome to Michigan initiatives, coordinating programmatic offerings and communications.
  • Coordinate submission and display of artwork for the Student Creative Art Gallery.

Fiscal & Operational Support (30%)

  • Initiate and process journal entries, financial transactions, expense reconciliations (Concur, P-Card), and budget tracking in collaboration with unit leadership.
  • Assist Program Managers and student organizations with grant funding processes, purchases, contracts, and reimbursements.
  • Partner with Student Life Business & Finance, HR, and Student Organization Account Services, including quarterly meetings and budget reviews.
  • Maintain accurate records, analyze budgetary impact, and assist with annual gap analysis and policy review.
  • Support payroll, timekeeping, and documentation for student and temporary staff.
  • Oversee purchasing and inventory of office supplies; maintain clean, welcoming facilities with Maintenance staff.
  • Manage internal workflow system (Asana) to coordinate unit operations

Administrative & Customer Service (30%)

  • Manage complex unit leadership and conference room calendars: respond to schedule changes, screen meeting requests, set priorities, provide meeting information, and take notes.
  • Screen incoming communications, coordinate mail, and handle basic office IT needs.
  • Follow up on meeting decisions and projects, ensuring completion.
  • Manage projects as assigned by the Director, either individually or as a member of task forces, working groups, or project teams. Anticipate and track critical dates, events, and organizational issues. Follow up with appropriate parties to ensure deadlines are met and the Director is informed.
  • Coordinate internal operations such as staff meetings, retreats, shared calendars, and task forces.
  • Provide excellent customer service to all visitors and serve as the primary contact point in the Center.
  • Manage office and digital files, updates for digital signage/display screens
  • Prepare documentation for HR processes, coordinate staff interviews, onboarding/offboarding, and meeting schedules.
  • Lead and support special projects as assigned.

Communications (10%)

  • Collaborate with Communications Specialists and student marketing/social media coordinators to create and distribute content across multiple platforms (social media, newsletters, and website).
  • Support regular communication with students, student organizations, alumni, and participate in staff meetings and program planning.
  • Support TMC and MESA's vision and core values.
     

Required Qualifications*

  • High School Diploma or equivalent.
  • 3 or more years of administrative experience
  • Experience with budget processes, purchasing, or reconciling reports
