The Program in Biophysics within the University of Michigan, College of Literature, Science, and the Arts is seeking an experienced, highly motivated, and organized leader to help guide and manage the day-to-day operations of the program.

Who We Are

Biophysicists at Michigan are working in the fields of Structural Biology, Spectroscopy and Microscopy, Computational Biophysics and Bioinformatics, and Biophysical Chemistry. Approximately 80 graduate students, post-docs, and professors work in our well-equipped laboratories. Responsibilities*

General Operations: Manage the day-to-day operations of the Program in Biophysics. Provide advice and support to the Chief Administrator and Program Director relating to operations and services. Be familiar with LSA and UM policies and procedures, and ensure awareness and compliance among faculty, staff, and students.  Provide special project Management to the Chief Administrator, Program Director, and Associate Directors.  Manage special projects and programs, including research and data queries, and develop solutions consistent with the Biophysics mission, strategic plan, and culture.

Instructional Support: In partnership with the Associate Director for Undergraduate Studies, coordinate teaching assignments for faculty, lecturers, and GSIs for Biophysics courses.  Monitor allocation for GSI assignments and request additional support where needed. Coordinate undergraduate curricular activities with partner units. Assist in implementing programmatic changes to the undergraduate and graduate curriculum.  Coordinate with LSA HR to ensure appointments are properly established.  Monitor lab fees, enrollment trends, course offerings, and course feedback, and make recommendations to the program director and chief administrator.  Provide programmatic oversight for the Biophysics REU program, graduate preview visit, graduate recruitment visit, and graduate admissions process.

Human Resources: Serve as direct supervisor of up to 6 Biophysics administrative staff (hire, train, develop, evaluate). Provide positive leadership to maximize the performance and professional development of the staff.  Provide oversight for procedures related to faculty recruitment, appointment, review, retention, and promotion. Work collaboratively with LSA Human Resources to develop job descriptions, review staff positions for appropriate classifications, and salary ranges. Provide oversight for procedures related to affiliated faculty appointments. Analyze and evaluate the administrative staffing needs of the department and make recommendations to the Chief Administrator. Resolve operating problems and address employee concerns.  

Financial Responsibilities: Provide budgeting and expense projections and forecasting in partnership with LSA Finance and the Chief Administrator to establish controls to maintain budget oversight. Review business transactions for compliance with relevant policies and regulations and provide Program authorization for these transactions. Assist with management and oversight of all departmentally-managed funds, and partner with LSA Finance in the oversight of sponsored and faculty-managed funds.  Assist the Chief Administrator in interpreting and providing information related to University, College, and Program policies and business procedures to all faculty, students, and staff.  In coordination with the Program Director, facilitate unit development activities, donor stewardship, and oversight of endowed funds.   

Facilities: In partnership with the Chief Administrator and Program Director, develop and implement the Biophysics space management plan. Coordinate with Chemistry and LSA Facilities to maintain space and instrumentation. Conduct annual space analysis and capital equipment inventory updates. Provide oversight of the Biophysics Common Equipment resources and the Biophysics Dishwasher recharge.

Required Qualifications*

  • Bachelor's degree with 4+ years of experience in progressively responsible administrative management, or equivalent experience.
  • Supervisory experience.
  • Excellent interpersonal, verbal communication, written communication, and collaborative skills with a commitment to creating a positive work environment. 
  • Experience with budgets and other financial matters. 
  • Demonstrated attention to detail and organizational skills, ability, and desire to work independently, be part of a team, and show initiative. 
  • Demonstrated ability to initiate projects and carry them through to completion, as well as the ability to prioritize tasks and delegate responsibilities. 
  • Demonstrated ability to use sound judgment and diplomacy.

Work Schedule

Program Managers in LSA are expected to be on-site a minimum of 4 days each week during the academic year (either in an on-site work mode or a Hybrid work mode with four days on-site and one day off-site).

Modes of Work
