Job Summary
The University of Michigan seeks a creative, innovative, and thoughtful professional to join the Disability Equity Office (DEO) within the Equity, Civil Rights, and Title IX Office (ECRT). ECRT leads the university's efforts to ensure equal opportunity and access across employment, education, and programs, consistent with U-M's commitment to equity and civil rights. The Disability Equity Office serves as the university's centralized hub for advancing accessibility and disability inclusion through education, training, outreach, and direct services for students and employees with disabilities. DEO also coordinates compliance with the Americans with Disabilities Act (ADA) and related disability laws across Michigan Medicine and the Ann Arbor, Dearborn, and Flint campuses.
The Administrative Assistant Senior performs a variety of professional and administrative duties in support of the day-to-day operations of the Disability Equity Office. The successful candidate will assist with program planning and development; interpret, monitor, and analyze information regarding operating policies and procedures; and support various special projects and/or activities of the Disability Equity Office. Employees in this classification typically analyze, compare, and evaluate various courses of action and have the authority to make independent decisions within the scope of their responsibilities. The person in this role will compile and analyze information for inclusion in reports and presentation materials, and prepare charts, graphs, or tables as necessary. The Administrative Assistant Senior will also receive and respond to routine correspondence, following established procedures that do not require management review. This position requires the ability to exercise independent judgment and employ critical thinking skills. This person will also exercise independent decision-making authority that may affect business operations.
Responsibilities*
Strategic Operations & Office Management- 25%
Provide calendar coordination support for the DEO leadership team, meeting logistics, and scheduling using Google tools and Zoom
Provide high-level administrative support to unit leadership, including creating cases in a complex database, briefing materials, agenda development, and follow-up tracking
Create and manage meeting invites, training requests, and virtual session links for webinars and trainings
Ensure consistent documentation, version control, and institutional knowledge retention.
Schedule interviews, confirm participation, and maintain accurate candidate records and documentation
Develop, document, and continuously improve internal operational processes, procedures, and service standards
Coordinate unit-wide planning cycles, timelines, and deliverables
Oversee administrative systems (case management tools, scheduling platforms, shared drives)
Purchasing, Invoicing & Resource Management- 25%
Process purchases for all DEO-related expenses and monitor expenditures, contracts, and vendor relationships to ensure fiscal compliance with university guidelines and rules
Manage vendor invoices, payments, and recurring subscriptions
Coordinate CART and video captioning, invoicing and tracking
Support DEO office budgeting, including tracking budget line-item expenditures, and assist in the preparation of documentation and reports for annual budget review
Training & Workshop Support - 20%
- Support webinars and trainings, including Zoom setup, ASL and CART coordination, and postings on various calendars and communication platforms
Prepare and distribute registration, participant, and follow-up communications - Assist with presentation materials, ASL video coordination, and pre- and post-event surveys
Technology, Systems & Knowledge Management - 20%
- Facilitate captioning services with external vendors for internal workshops and provision of captioning services for campus partners
- Ensure ASL and captions are properly embedded using Adobe Premiere or other Adobe products.
- Review captions and accessible video content for accuracy, quality
Communications, Templates & Content Editing - 10%
Proofread and update marketing materials, website content, newsletter, and large-scale communications with accuracy and attention to detail
Assist with policy and procedure updates, newsletters, and outreach materials to ensure alignment across documents and internal resources.
Create and maintain standardized letters, templates, and editable resources

Skills You Have
Additional skills you have that will be beneficial for the position are:
Experience working in higher education or similarly complex large organizations
Experience using accessibility checkers within Microsoft Office and Google products, including Word, Excel, PowerPoint, Google Sheets, and Docs)
Required Qualifications*
Bachelor's Degree or a combination of relevant education and experience
Requires 2-3 years of administrative support experience
1-2 years working in a complex case management system or similar database
Ability to coordinate complex calendars and meeting schedules across multiple platforms
Highly organized, detail-oriented professional with excellent professional communication skills across multiple modalities
The ability to work both independently and collaboratively in a fast-paced environment
Ability to act with discretion, adaptability, and a proactive approach to problem-solving
Proficiency in the Microsoft Office suite of products and Google products
Modes of Work
Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department.
