Responsibilities*
Provide clinic operational support to the Pediatric Specialties ACU in an ambulatory care clinic setting. Coordinate and facilitate communication between physicians, nurse providers, clinic personnel, and patients regarding issues relevant to the medical care. Assist in identifying and resolving clinic operational problems and help train new staff members on the clinical support operations. Individual must maintain an excellent rapport in person or via the telephone with patients, faculty, and staff, within a team setting. Participate fully in the Lean in Daily Work (LIDW) model of continuous quality improvement. The role includes:
- Acting as a Referral/Authorization Coordinator, manage the prior authorizations (PA) process for medications and medical supplies/devices; resolve and navigate the authorization process by working with the physicians, educators, referring physician offices, patients, pharmacies, and patient insurance
- Manage and process patient required documentation such as Certificates of Medical Necessity, Letters of Medical Necessity, DME forms, Blood Glucose logs and other forms under the directions of the physicians and educators
- Manage the prescription and medical supply/device refill requests
- Manage the fax server and triage the incoming patient care document; image medical records including BG logs, labs, and outside records in the medical record system
- Handle patient inquiries for medical follow-up via messages in the electronic medical record (EMR) system
- Compile and assemble patient education material
- Proactively organize and order clinic supplies including the class handouts
- Other duties as assigned
Required Qualifications*
- High School diploma or an equivalent combination of education and experience is necessary
- 3 years' experience within a large, complex healthcare system
- Prior experience completing prior authorizations
- Experience and proficiency in utilizing computer including standard business computing programs and EMR.
- Must have a solid knowledge of general office practices and ability to understand medical documentation, coding, and diagnosis
- Strong interpersonal and communication skills are necessary
- Demonstrated active listening, written, verbal and information technology skills
- Ability to manage stress effectively
- Demonstrated excellent attendance and reliability
- Ability to work collaboratively and seamlessly as an integral member of the team
- Track record of observing and executing patient confidentiality protocol
- Ability to take initiatives and exercise critical thinking skill to effectively solve problems and improve quality with the framework of patient care support protocols
Desired Qualifications*
- Experience with pediatric population
- Solid understanding of computer systems, and Microsoft Office applications
- Proficiency in Medical Terminology
- Previous experience with MiChart Cadence/Epic system
- Seek constructive approached to resolving workplace issues
- Responds positively to change, showing willingness to learn new ways to accomplish work
- Adhere to high standards of teamwork by demonstrating adaptability, flexibility, and consistently sharing information and resources with others
- Knowledge of University policies and procedures
