Job Summary
The Office of Continuing Medical Education and Lifelong Learning (OCME&LL) at the University of Michigan Medical School is seeking a highly organized, detail-oriented, collaborative, and service-driven CME Activity Specialist. This role supports the development, implementation, and evaluation of accredited continuing education for physicians and other healthcare professionals across Michigan Medicine.
The CME Activity Specialist ensures activities meet national accreditation requirements, assists with administrative and technical operations in MiCME (powered by CloudCME), and provides essential support to departments, planners, and learners. This position plays a critical role in advancing OCME&LL's mission to deliver high-quality, evidence-based continuing education that improves patient care and clinical outcomes.
Responsibilities*
CME Application Review and Activity Development
- Collaborate with departmental planners and administrators to build and maintain CME activities within MiCME
- Support the collection and review of financial disclosures and assist in Conflict of Interest (COI) management workflows in alignment with ACCME Standards for Integrity and Independence.
- Assist with the use of the MiCME powered by CloudCME platform and promote a shared vision for CME across Michigan Medicine.
- Ensure applications and activity materials meet ACCME and AMA PRA Category 1 Credit requirements through rigorous quality control.
- Collaborate with the Operations Manager and HITS to design, document, and implement standardized workflows and Standard Operating Procedures (SOPs) that support emerging service lines, including affiliate CME, new credit types, RSS modernization, and dashboard development to ensure consistent, efficient, and compliant operations.
Customer and Technical Support
- Provide user support for MiCME, including registration, credit claiming, disclosure submission, account issues, and basic platform troubleshooting.
- Collaborate with HITS and the CloudCME vendor as needed to resolve escalated technical issues in the MiCME platform.
- Build and configure registration forms in MiCME for internal departments and external partners.
- Create clear, accurate communications, including process-specific emails, website updates, and contributions to the OCME&LL newsletter.
Training and Communication
- Maintain up-to-date expertise in CME standards and MiCME functionality to serve as a resource across Michigan Medicine.
- Develop and deliver training materials and guidance independently and in collaboration with HITS to support planners, coordinators, presenters, and other end users.
Administrative and Operational Support
- Support infrastructure for online testing, evaluations, credit certificates, and post-activity reporting.
- Assist with MiCME quality assurance and general administrative functions within OCME&LL.
- Perform other duties as assigned.
Required Qualifications*
- Bachelor's degree in a relevant field or an equivalent combination of education and experience.
- Minimum of 2 years of professional experience in an administrative, academic, or healthcare setting.
- Exceptional organizational skills, attention to detail, and ability to manage multiple priorities.
- Strong written and verbal communication skills with a commitment to customer service.
- Ability to work independently, collaboratively, and with a diverse set of stakeholders.
- Proficiency with Microsoft Office and Google Workspace, with demonstrable ability to learn new systems and platforms.
Desired Qualifications*
- Experience in continuing medical education, higher education, program coordination, or healthcare administration.
- Familiarity with ACCME accreditation standards, MOC requirements, or AMA credit designation.
- Experience with learning management systems (e.g., CloudCME or similar), registration platforms, or CRM tools.
- Knowledge of University of Michigan administrative systems, policies, and workflows.
Modes of Work
This position operates in a hybrid format. The OCME&LL team meets in person approximately once per month in Ann Arbor, MI. Work is primarily performed remotely but may change as needs arise.
Background Screening
Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings. Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
