Job Summary
- Provide comprehensive administrative support including complex calendar management; drafting, editing and proofreading documents; managing priorities; preparing meeting agendas, materials, and minutes.
- Coordinate and schedule virtual and in person meetings with multiple participants with challenging availability, ensuring timely communication and providing full logistical support including agendas, Audiovisual needs presentation materials and meeting documents.
- Organize and manager meetings with external stakeholders and community partners, serving as a professional representative of Troy campus leadership.
Coordinate recruitment logistics of site leaders and support onboarding of leaders and staff joining the Troy campus.
- Deliver essential background information to leaders prior to meetings, ensuring they are fully briefed on objectives, context and participant roles.
- Monitor and manage the flow of issues, initiatives and projects that require immediate attention or strategic preparation related to key priorities.
- Assist in preparing presentation materials by gathering information from multiple sources, following required templates and ensuring timely submission to committee or governing body. Support the development of internal communications by drafting content, proposing revisions and assisting with sensitive correspondence as needed.
- Perform data entry and maintain data and issue tracking system for specific initiatives or projects.
Process reimbursements and prepare expense reports for leadership P-card or out-of-pocket expenses.
Coordinate travel arrangements including preparing itineraries, agenda packets, and other related travel documentation.
- Exercise sound judgement and independence in daily responsibilities, interpreting, communicating, and applying organizational policies and Standard Practice Guidelines (SPG)

Job Summary
Seeking a highly effective Senior Administrative Assistant to provide administrative support to the Associate Chief Operating/Nursing Officer, Oakland County, and other members of the Troy Campus leadership team. In this role the Administrative Assistant Sr. will manage a wide range of administrative functions to ensure the leader's time is effectively allocated and that they have the information and materials needed to advance key organizational priorities.
The ideal candidate will excel in coordinating complex meetings and calendar management while consistently demonstrating accuracy, efficiency and a strong commitment to customer service. This position will also support the development of communications and presentations on behalf of leadership, provide foundational project management support, collect, organize and synthesize basic data, and assist with the recruitment and onboarding of leaders and team members. The Senior Administrative Assistant must handle confidential and sensitive matters with discretion and sound judgment.

Desired Qualifications*
- Bachelor's degree or an equivalent combination of skills, experience, and education.
- 5 or more years of relevant 'high level' administrative experience.
- Successful work history demonstrating effective process management and management of multiple complex tasks.
- Excellent computer skills with a strong working knowledge of Microsoft Office Suite, Google collaboration tools, Adobe Acrobat.
- Working knowledge of Zoom and/or other video conferencing tools.

PLEASE NOTE: This position is located at Michigan Medicine's 'Troy Campus' in Troy, MI. Interested candidates must be able to work in Troy, MI.
