Job Summary
The Family Medicine Residency Program Administrator continually assesses and manages a wide range of administrative activities to support the operation of the Family Medicine Residency Program, consisting of approximately 39 residents (House Officers) per year. As a member of the Program Administrative team, this role requires a clear understanding of overall program operations to provide effective cross-coverage, while maintaining a primary focus on resident scheduling and curriculum coordination.
Key responsibilities include developing, maintaining, and optimizing all program schedules, including block schedules, clinic schedules, and MedHub schedules, as well as ensuring alignment with rotation goals and objectives. This position requires a high degree of initiative, independent judgment, and the ability to promptly problem-solve in a fast-paced, time-sensitive environment.
Under the supervision of the Family Medicine Education Administrator, the Program Administrator works in close collaboration with the Program Directors to support the day-to-day administration of the Family Medicine Residency Program. This includes serving as a primary point of contact for Family Medicine residents/House Officers to address questions and resolve issues; maintaining accurate and detailed resident records in compliance with ACGME Residency Review Committee and Office of Graduate Medical Education requirements; and supporting adherence to program policies and the House Officer Contract.
Responsibilities*
Leadership
Evaluate and standardize workflow processes and effectively troubleshoot and resolve issues that arise; often this must be done quickly given the nature of the work.
Communicate with other departments regarding activities of the training programs.
Assist with the UMHS Internal Review and ACGME Site Visit documentation.
Assist in the creation of and oversee the maintenance of the House Officers schedules
Communicate with scheduling software team to ensure that programing stays up to date.
Oversee the upkeep rotation schedules including goals and objectives for rotation.
Oversee Event Calendar Management
Recruitment
Oversee the proper scheduling of those involved in recruitment activities.
Availability to greet applicants on interview days and help troubleshoot any technical difficulties
Credentialing and Orientation
Create Intern Orientation Schedule.
Administrative
Assist with proctoring in-training exams.
Respond to daily emails from House Officers, Program Directors and GME Office.
Attend and participate in program meetings and activities.
Schedule annual meetings between resident and Program Director/Assistant Program Directors
Required Qualifications*
Bachelors degree or equivalent combination of education and experience
2-3 years of professional/administrative experience
Demonstrated ability to make independent decisions to determine appropriate course of action within the context of policies and standards
Demonstrated ability to analyze, compare and evaluate various courses of action within scope of the role
Demonstrated ability to operate with independence
Experience with creating and maintaining complex schedules
High attention to detail and timeliness/meeting deadlines in a must.
Good communication skills
Desired Qualifications*
2 + years GME experience
Experience in an academic health system
Knowledge of University policies and procedures
