Job Summary

As the Faculty Support Administrative Assistant Senior, you will provide comprehensive operational, financial, academic, and human resources support to the Academic Area Chair(s) and faculty to ensure the effective management and strategic functioning of one or more academic areas. You will be a trusted operational partner to the Area Chair(s), supporting academic planning, resource management, faculty lifecycle processes, and departmental plans.

You will be a peer leader within the Faculty Support department, modeling best practices, contributing to process improvement, and collaborating across units to improve consistency and operational excellence. You will report to the Area Admin Supervisor.

This hybrid position is based in Ann Arbor, MI, with an expectation of a minimum of three days per week on-site. The role may require occasional work outside standard business hours, including early mornings, evenings, or weekends. This position is not eligible for visa sponsorship. Candidates must be legally authorized to work in the United States at the time of hire and maintain that authorization throughout employment.

Responsibilities*

Academic & Course Planning Operations - 10%

  • Lead and coordinate academic planning operations in partnership with Area Chair(s), the Ross Registrar's Office, Ross Academic HR, and the Dean's Office. Responsibilities include:
    • Manage the course planning tool and oversee the development of teaching schedules. 
    • Support Area Chair(s) in faculty teaching assignments, workload planning, and instructional coverage. 
    • Coordinate submission timelines, approvals, and adjustments related to course offerings. 
    • Monitor compliance with academic policies and deadlines. 
    • Be the primary liaison between the academic area and central offices regarding course planning and instructional logistics.
    • Anticipate scheduling conflicts or operational challenges and recommend solutions. 

Financial Stewardship - 20%

  • Provide comprehensive financial management and advisory support to Area Chair(s) and faculty to ensure responsible stewardship of departmental resources. Responsibilities include: 
    • Manage area and individual faculty funds in accordance with university and school policies. 
    • Maintain and distribute financial reports to Area Chair(s) and faculty to support strategic decision-making. 
    • Establish and maintain internal controls to ensure fiscal compliance and budget oversight. 
    • Create and manage detailed budgets for departmental plans, events, and priorities.
    • Provide forecasting and expense projections to inform planning discussions.
    • Manage faculty and departmental expenditures, including PCard expense reconciliation and transaction review. 
    • Review and authorize business transactions for policy compliance.
    • Advise Area Chair(s) on costs of department and strategic plans.
    • Identify trends, risks, or funding concerns and recommend adjustments. 

Events & Faculty Engagement - 35%

  • Lead operational execution of academic area events that support faculty recruitment, research visibility, donor engagement, student interaction, and community building. Responsibilities include: 
    • Oversee event logistics from concept through completion, including budgeting, vendor selection, venue coordination, registration processes, communications, and on-site management. 
    • Partner with Area Chair(s) to align events with academic priorities.
    • Manage speaker logistics, expense processing, travel coordination, and hospitality. 
    • Oversee temporary staff and coordinate support resources. 
    • Monitor event budgets and ensure compliance with financial policies.
    • Evaluate event processes and implement improvements to enhance efficiency and experience. 

Faculty Lifecycle & HR Support - 30%

  • Provide comprehensive administrative support across the faculty lifecycle, partnering with Area Chair(s) and Ross Academic HR. Responsibilities include: 
    • Support faculty recruitment processes, including posting coordination, candidate communications, application tracking, interview scheduling, and serving as the primary administrative contact. 
    • Coordinate administrative components of faculty appointments, reappointments, reviews, retention efforts, and promotions. 
    • Facilitate onboarding and offboarding processes for faculty.
    • Monitor and track faculty leaves, sabbaticals, emeritus status, and related documentation. 
    • Collaborate with Ross Academic HR to review LEO contracts, offer letters, and annual reporting requirements. 
    • Support Area Chair(s) in documentation and tracking related to performance reviews and academic personnel processes. 
    • Lead student temporary hiring processes, including onboarding, time sheet monitoring and approval, gross pay register review, and resolution of payroll issues. 
    • Ensure confidentiality and compliance in all personnel-related matters.
    • Identify process improvements within faculty lifecycle management. 

Operational Leadership & Peer Support - 5% 

  • Responsibilities include: 
    • Department website maintenance and content updates. 
    • Support training and onboarding of new Faculty Support staff. 
    • Be a resource to colleagues on financial systems, academic processes, and best practices. 
    • Participate in cross-departmental benchmarking and process improvement plans.
    • Contribute to the documentation of shared operating procedures. 
    • Support projects aligned with Area Chair(s) and Faculty Support leadership priorities.

Required Qualifications*

  • College degree or equivalent education. 
  • 4+ years of related administrative experience.
  • Proficiency in Microsoft Office Suite and Google Workspace.

Modes of Work

Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Work agreements are reviewed annually at a minimum and are subject to change at any time, and for any reason, throughout the course of employment. Learn more about the work modes.

Additional Information

The salary offer range for this position is $50,900 to $59,700. Salary offers are determined by several factors, including a candidate's experience, skills, and qualifications, as well as internal equity considerations. It is not common for new hires to be placed at the top of the range.
