Job Summary
Under general supervision, provides general administrative support to the Volunteer Services department. Communicates with volunteers, supervisors and staff via email, phone calls, and in-person interactions. Requires the ability to exercise independent judgment and employ basic reasoning skills. Typically requires a high school education or equivalent and two to four years of experience. Under FLSA, incumbents in this position are nonexempt.
Responsibilities*
This position provides general administrative support to the Director and The Volunteer Service department. Principle duties and responsibilities include, but are not limited to:
- Direct support and maintenance of the Volunteer Services Directors calendar.
- Respond to general inquiries via telephone, internet, US mail, or walk-in from prospective volunteers, UMHS staff, and others in the community.
- Greet and assist volunteers with check-in procedures, issuing uniforms, wayfinding, and validating parking tickets.
- Assist volunteers with kiosk functions to log hours.
- Distribute and reconcile uniforms.
- Oversee workflow of office volunteers and work/study students.
- Coordinate the monthly newsletter and recruitment flyers for distribution.
- Order supplies, parking passes and maintain office equipment.
- Coordinate building and facility challenges with the neighboring departments within the volunteer's services suite.
- Ensure that conference rooms are accessible, scheduled and knowledgeable of the equipment needed for in-person and virtual meetings.
- Reconcile petty cash and make deposits as necessary.
- Provide administrative support for the annual Volunteer Recognition event.
- Other duties as assigned.
Required Qualifications*
- Excellent customer service skills are a must.
- High school education or equivalent of two to four years of comparable work experience. The ability to multitask and work well with repeated interruptions is essential.
- Ability to work independently and function as part of a team.
- Excellent written and verbal communication skills, strong organizational skills.
- Occasional evenings/weekends required to assist with Information and General Orientation sessions.
Desired Qualifications*
- Bachelor's degree
- Demonstrated proficiency with Microsoft Word, Excel and PowerPoint.
- Familiarity with University policies and procedures.

Modes of Work

Background Screening
Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings. Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
