Job Summary

The Office of Counseling and Workplace Resilience (OCWR) in Michigan Medicine is looking for candidates to fill a temporary Administrative Assistant position to support the mission of caring for the emotional health and well-being of Michigan Medicine faculty, staff, house officers, and medical learners. You will work collaboratively to provide responsible administrative support to the clinical staff and Director of OCWR. You will report to the Director of OCWR. 
 

Additionally, you will support a special project in the OCWR office as the team implements a new health record management system. You will participate in training sessions and assist the team with workflows and processes in this new electronic health record system.
 

The expected length of this position is 6-8 weeks, with possibility to extend as needed. The range of hours is approximately 32-40 hours per week.  

Responsibilities*

  • Be the first contact for clients and visitors to provide a welcoming, compassionate, calming, and affirming introduction to OCWR.
  • Protect clients' HIPAA rights by maintaining privacy and confidentiality.
  • Screen, triage, route, and follow-up on confidential information received from clients by phone, email, fax, and office forms to schedule services to meet the needs of clients.
  • Assist with coordination/escalation of crisis response requests by consulting with OCWR team, following escalation procedures, and connecting to appropriate resources.
  • Calendaring and maintaining client appointment schedules for clinical staff.
  • Support the transition to a new electronic health record which is used to coordinate scheduling and clinical activities. Attend training sessions on the new record system and assist with transferring calendar data and other information to the new system.
  • Use OCWR's new electronic health record to coordinate scheduling. Develop operational workflows and manage the creation and submission of forms, clinical assessments, and clinic documents within a secure environment.
  • In consultation with the OCWR team, assist with internal and external referral resources and community services.
  • Perform other administrative tasks as assigned to support the mission and function of the OCWR.

Required Qualifications*

  • Associates degree or equivalent combination of education and experience, and at least one year of administrative experience.
  • Experience working in a dynamic, diverse, and fast-paced environment.
  • Established computing, design, and data management skills, specifically Microsoft Office 365 and Google documents.
  • Familiarity with using and setting up software systems or other data management systems.

Work Locations

This position will be onsite at the OCWR office, located at the Michigan Medicine main campus in Ann Arbor.
