Job Summary
The Key Office is looking for a Customer Service Representative to provide excellent customer service to our University community. This position will issue and receive keys, create refund documents, and perform various administrative tasks.
Responsibilities*
- Issue correct key per customer's requisition and verifying authorized signer.
- Update Key Office database of doors, keys and key assignments.
- Customer service duties, including but not limited to, answering phones, answering questions, providing reports, coordinating the issuing and returning of keys for large projects.
- Perform various clerical duties, including but not limited to, organizing information into spreadsheets, maintaining files, distributing mail and processing documentation.
- Review and process FMS/AiM work requests, including basic triage, customer follow-up, and obtaining clarification needed for accurate routing and completion.
- Process work requests.
- Assist the Key Systems Supervisor with special projects, data collection, project coordination, and other departmental initiatives as assigned.
Required Qualifications*
- Minimum two (2) years in a customer service setting
- Experience using Microsoft Word and Excel
- Excellent problem solving skills
- Excellent customer service skills
- Ability to learn and adapt quickly, including on various software applications
- Self-motivated
- Excellent prioritizing skills
- Detailed oriented
- Legible penmanship
Desired Qualifications*
- Experience using Google Suite, including email, drive, docs, sheets
- Experience with Computerized Maintenance Management Systems (CMMS), such as AiM/FMS
- Knowledge of doors, locks, keys and key systems
- Knowledge of the UM Key Office software and procedures
Work Schedule
This is a full-time 40 hours per week regular position with a shift of Monday-Friday, 7am to 3:30pm.
