Job Summary
The Office of Financial Aid is looking for a full-time (100% effort) Financial Aid Administrator Intermediate who will be a representative to students, parents/supporters, outside agencies, faculty and staff regarding financial aid in general and the application process through direct contact, emails, phone, text messaging, and at presentations. The Financial Aid Administrator is responsible for ensuring practices, policies, and procedures comply with Federal and State regulations. This role will use systems and equipment including: Ellucian (Banner), Microsoft Office tools, Google Suite, COD, NSLDS, and general office equipment.
The Financial Aid Administrator Intermediate will report to the Assistant Director.
Responsibilities*
Program Administration (45%)
- Administering Federal, State, and/or Institutional Financial Aid Programs. Must maintain a working knowledge of financial aid rules and regulations. Remain current on trends and practices in Higher Education.
- Maintain requirements and complete reporting for all federal, state, and institutional financial aid programs.
- Act as liaison to the Federal, State, and University to troubleshoot disbursement issues and resolve complex processing errors.
- Review quality control audit reports, make necessary adjustments, and ensure data integrity in student information systems (e.g., Banner).
- Evaluate all aid programs using analytical tools and professional discretion to determine the final outcome of student eligibility.
Processing (25%)
- Review financial aid application documents to verify accuracy and completeness
- Process applications for financial aid, including needs analysis, verification, determination of financial aid eligibility, and packaging and awarding of federal, state, and institutional aid programs.
- Help develop and implement financial aid policies and procedures and administrative practices.
- Responsible for a federal and state financial aid program that includes monthly and year-end reconciliation processes.
- Exercise professional judgment to resolve complex issues relating to student financial aid.
- Send tracking notices
Customer Service and Outreach (20%)
- Counsel, advise, and provide written, telephone, and in-person communications to students, parents, and outside offices/agencies on all phases of financial aid office operations, policies, and guidelines.
- Present on financial aid topics, assist parents/students at orientations, and on and off-campus activities requiring financial aid representation.
- Help other office staff with projects such as reviewing student lists.
Other duties as assigned (10%)
- Represent the office at training and conference opportunities when designated as an attendee.
- Serve on committees, task forces, and working groups in developing process improvement, guidelines, and procedures for the processing and delivery of financial aid.
- Perform other duties as assigned.
Required Qualifications*
- Bachelor's degree or equivalent combination of relevant education and/or experience
- 1 or more years of financial aid experience or relevant experience in a related field.
- Must have customer service experience.
- Knowledge of, ability to use or learn to use federal, state, and institutional systems and equipment such as: Ellucian(Banner), COD, NSLDS, and general office equipment.
- You will be required to demonstrate there are no restrictions that would prevent you from obtaining authorization to NSLDS, COD and other federal financial aid processing sites.

Modes of Work
Hybrid
The work requirements allow both onsite and offsite work and an employee has an expected recurring onsite presence. On occasion, the employee may be required and must be available to work onsite more frequently if necessitated by unit leadership or their designee and/or the job requirements.

Work Locations
The primary work location is the Office of Financial Aid Office in the University Pavilion on the UM-Flint Campus.
