Job Summary
The University of Michigan Injury Prevention Center is seeking a highly organized, proactive, and motivated Administrative Specialist Associate to play a key role in supporting the Center?s dynamic portfolio of research, training, and outreach activities.
Housed within the Department of Emergency Medicine, the University of Michigan Injury Prevention Center is one of eleven CDC-funded Injury Control Research Centers in the nation. The Center advances innovative injury prevention research, translates evidence into practice, and fosters partnerships that help reduce the burden of injuries across the Great Lakes region and the United States. Our work brings together researchers, trainees, healthcare professionals, policymakers, and community partners to create meaningful, real-world impact.

The successful candidate will help coordinate projects and events, support communications and operational activities, and contribute to the smooth functioning of a nationally recognized research center. Responsibilities*
Coordinate and schedule meetings and activities for the University of Michigan Injury Prevention Center
Maintain faculty curriculum vitae and related records in Elements
Support the day-to-day administrative operations of the Center, including meeting coordination, travel arrangements, space management, supply procurement, and promotional materials.
Provide administrative support to the Center faculty and team
Assist with financial processes, including travel and expense reimbursements, event-related expenditures, and other transactions
Support the plan and coordinate workshops, trainings, conferences, symposiums, and community outreach events
Manage event logistics, including scheduling, registration, venue and material coordination, and post-event evaluations
Responsible for monitoring office supply inventory, placing orders, and coordinating with vendors.
Obtain Continuing Medical Education (CME) accreditation for webinars, symposiums, and other educational programs
Perform other duties as assigned in support of the Center's mission and operations
Required Qualifications*
Associates degree and or five (5) years of administrative support experience
Excellent interpersonal skills and demonstrated ability to handle sensitive and confidential information with professionalism and discretion
Strong written and verbal communication skills
Demonstrated ability to collaborate effectively with diverse stakeholders, including faculty, staff, students, and external partners
Strong organizational skills with the ability to prioritize multiple responsibilities, manage competing deadlines, and maintain attention to detail
Sound judgment, initiative, and the ability to work independently and collaboratively in a dynamic environment
Proficiency in Microsoft Office applications, including Excel, Word, SharePoint, PowerPoint,
Experience with EndNote, CANVA, and Emburse

Modes of Work

Background Screening
Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings. Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
