Job Summary

The CSPD Instrument Coordinator serves as the primary liaison between CSPD, Operating Rooms, Clinics, Supply Chain, Finance, Informatics, physicians, vendors, and other stakeholders. This role ensures the availability, integrity, regulatory compliance, and efficient utilization of surgical and clinic instrumentation while supporting operational excellence, quality outcomes, and customer service.

The coordinator functions as the subject matter expert for reusable instrumentation and reprocessing standards, providing leadership for inventory management, instrument acquisition, repairs, new tray implementation, IFU compliance, process improvement initiatives, and stakeholder communication.
 

Responsibilities*

Instrumentation Management & Inventory Oversight
?    Ensure instrumentation and backup inventory levels are available, maintained, and aligned with procedural demand.
?    Monitor instrument utilization, low inventory reports, equipment availability, and inventory trends.
?    Coordinate instrument purchases, repairs, replacements, and inventory optimization activities.
?    Manage missing, damaged, or out-of-service instrumentation and facilitate timely resolution.
Tray, Set, and Process Management
?    Serve as the primary point of contact for new tray creation, tray revisions, count sheet updates, and inventory additions.
?    Coordinate implementation of new instrumentation and ensure stakeholders follow established workflows.
?    Collaborate with Informatics teams to maintain accurate inventory and instrument tracking records.
Customer & Stakeholder Relations
?    Act as the central liaison between CSPD and clinical customers.
?    Support onboarding of new departments requiring sterilization and instrument processing services including 
o    Establishing a service level agreement
o    Providing guidance to customers on the procurement of appropriate re-useable instruments
o    Coordinating instrument drop-off, pick up times
o    Working with Peri-Op Informatics team, on adding clinic instrument trays to instrument tracking software. Will be the primary point of contact for new set creation and will ensure that the new set process flow is followed by all stakeholders (i.e., CSPD, Clinics, Supply Chain, OR Informatics etc.)
o    Maintaining updated clinic customer contact logs, instrument inventory lists and IFU?s. 
?    Attend huddles, meetings, and operational reviews to provide updates and resolve concerns.
Quality, Compliance & Education
?    Review and interpret IFUs and ensure compliance with regulatory requirements.
?    Partner with educators and leadership to develop SOPs, education, and competencies.
?    Serve as a resource regarding instrument identification, reprocessing requirements, and accreditation standards.
Continuous Improvement & Operational Excellence
?    Monitor trends related to instrument loss, damage, defects, utilization, and service disruptions.
?    Lead root cause analyses and process improvement initiatives.
?    Respond promptly to instrument-related concerns and customer issues.
Leadership Support
?    Lead cross-functional initiatives involving instrumentation and workflow improvements.
?    May operational coverage as needed.
?    And other duties assigned 
 

Required Qualifications*

  •  High school diploma or equivalent required.
  • Minimum two years of sterile processing experience required.
  • Certification through an accredited Sterile Processing Organization such as CBSPD or HSPA required.
     

Desired Qualifications*

  • Experience leading projects, programs, teams, or process improvements preferred.
  • Associate degree, advanced certification, or related healthcare education preferred.
     

Modes of Work

Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Work agreements are reviewed annually at a minimum and are subject to change at any time, and for any reason, throughout the course of employment. Learn more about the work modes.

Work Schedule

Full-time position. Hours are typically daytime, Monday through Friday; however, schedules may be adjusted based on operational needs, education requirements, special projects, accreditation activities, and departmental priorities. Occasional evenings, weekends, and travel between sites may be required.
